JOB TITLE: PCN Administrator
Rate of pay: Depending on experience
Hours: Part Time
*Maximum 25 hours per week
Looking for candidates who can accommodate flexible working. This would mean core agreed days but having enough flexibility to work around the managers/directors schedules where needed. This is a Hybrid Working role (on site and WFH).

PCN Structure
MDC PCN is a forward thinking group of 3 Bromley Practices which has been formed to benefit patients by offering improved access and extending the range of services available to them, and by helping to integrate primary care with wider health and community services. This PCN consists of The Woodlands Practice, The Chislehurst Medical Practice and The Links Medical Practice (Mottingham and Downham) covering over 37,000 patients.

The network aims to improve the morale of general practice in Bromley, by sharing expertise, services and supporting its workforce. The network will make a positive impact on medical services in Bromley, by working closely with the CCG, local NHS trusts, local providers and patient groups, to improve the delivery of healthcare to the local population.
Job Summary
As PCN Administrator you are responsible for supporting the PCN Clinical Director and the Management Team for providing an efficient secretarial and administrative support service. You will work across all PCN practices. You will also be expected to have knowledge of the use of clinical systems used by all the PCN practices.
The role involves providing a full range of PA functions, including diary management, dealing with correspondence, general administrative duties, and organising meetings with multiple stakeholders. You will have excellent organisational and communication skills, and the ability to work independently to plan and prioritise your own workload. You will be a team player who can build effective working relationships with member practices and with our partner organisations.
Responsibilities of the post -
1. Provide administrative support for the Network Manager.
2. Acting as a first point of contact for the network
3. Supporting the management of the network’s email correspondence and action/follow up accordingly
4. Managing diaries and organising meetings
5. Setting reminders for meetings, appointments and other important tasks
6. Support with recruitment of PCN staff including interview notes, practice induction schedules with liaison with Practice Managers.
7. Support for general EMIS/Docman/AccuRx queries from PCN team
8. Managing Protected Learning Time events and organising PCN-wide training
9. Running searches
10. Collating PCN reporting and performance
11. Maintain good communication with PCN practices;
12. Participate in training, as appropriate;
13. Work within organisation policies, procedures and guidelines.
14. Any other duties considered appropriate to the post.
Duties include, but not limited to;
· To work autonomously and provide and manage a complete secretarial/administration service, working independently and using own initiative, planning and prioritising the workload for each day.
· To attend meetings as required to take minutes of meeting, type and distribute as required.
· Draft correspondence on behalf of the Network Manager.
· Effectively manage own time, workload and resources.
· Assist the Network Manager with the monitoring of staffing, keeping accurate records of vacancies.
· Supporting the induction of new members of staff.
· Maintain annual leave records for the Manager, so that the Manager always holds an overview of plan absences for effective forward planning/ensuring appropriate resources are always available.
· Communicate relevant information within the network and externally in the appropriate manner to support the effective and efficiency of the network.
· Compiling newsletters and PCN-wide communications.
· Manage, update and promote the PCN website.
· Compiling reports (EMIS, APEX).
· Assisting with impact and investment fund searches.
· Assisting with the documentation of all financial information. Ensuring this is recorded and filed correctly and accurately.
· Ensuring actions log items are progressed.
· Providing admin support to PCN services
· Process petty cash payments.
· Have working knowledge of all software and hardware, i.e. photocopier, email, patient information system
· Supporting the PCN Practice Managers to set PCN appointed staff such as pharmacists, social prescribers, dieticians etc. up on clinical systems, including EMIS, AccuRx, Microsoft, etc.
· Liaising with the PPG
· Participate in an annual individual performance review, including taking responsibility for maintain a record of own personal and/or professional development
· Assess own performance and development and take accountability for own actions, either directly or under supervision.
General
The duties of this post are a guide to the range of responsibilities that may be required. These may change from time to time to meet the needs of the service and/or the development needs of the post holder. This job description will be revised regularly to take account of changes within the organisational structure and the practice business plan.
