Location: Hull

Hours: Part time, 20-25 hours per week, flexible

Role: Permanent part time Administrative Assistant to Senior Contracts Manager

Location: Office based (Foster Street, Hull)

Package: £21,000-£25,000 (pro rata) depending upon experience, plus pension and company benefits

Great opportunity to join this, long-standing family run business that has been serving customers for over 50 years. Marcalex specialises in high quality industrial insulation and pipework fitting. We are a friendly team of longstanding and loyal staff and are looking for a part-time administrative assistant to work alongside our senior contract manager at our Hull office. We feel the role would suit an experienced candidate looking to reduce their hours, and/or improve flexibility of working. This position is new, and we envisage the roles and responsibilities of this position expanding over time. We are looking for a candidate who would enjoy developing this role and their own skills over time, while still maintaining flexibility of working pattern.

Administrative Assistant Job Responsibilities:

This new role will have core initial responsibilities that include:

  • providing administrative support.
  • answering internal and external phone calls, taking and relaying messages, scheduling meetings, and supporting visitors.
  • organising and storing both online and physical documents.
  • exhibiting a friendly but professional tone in communications via mail, e-mail, by phone and in person with both clients and site staff across several sites.
  • quality control and review of documents.
  • arranging, monitoring, and chasing orders and deliveries.
  • supporting the team by performing tasks related to organisation and communication.
  • working with our HR and Health and Safety provider to bring personnel files and training up to date.
  • carrying out administrative duties such as filing, typing, copying, scanning and maintaining records.

The detail:

Candidates should be available for 20-25 hours per week, ideally during the core hours of 9am-3pm Monday to Friday (office hours 8-5pm Mon-Fri). This role is office based, with parking onsite provided. Some remote working may be considered after six months of satisfactory service depending on the business needs. The position offers 25 days holiday per year (plus bank holidays), increasing with service (pro rata for part time), pension, and sick pay. Renumeration is competitive and will vary with experience/hours worked.

Administrative Assistant Skills and Qualifications:

You will:

  • most importantly have a calm, friendly and approachable manner, and the ability to build rapport people at all levels, either in person or on the phone.
  • have strong organisational skills and administration experience, with the confidence to effectively plan and prioritise your own workload.
  • be confident working on your own initiative and be willing to learn new skills.
  • have a good level of writing, including a good grasp of grammar and spelling and attention to detail.
  • value the importance of working well as part of a team and be able to positively contribute towards the team environment and smooth running of the office.
  • be proficient in the use of appropriate software including Microsoft Word, Excel, and Outlook and comfortable with virtual meeting spaces.
  • be able to work under pressure and to tight deadlines.
  • Have a valid driver’s license and current car insurance.
