Location: Portsmouth or Basingstoke


Salary: Scale 3, £21,432 - £22,677


Hours: 37 hours per week


Contract: Temporary until 31.03.2025

Job Purpose


The successful candidate will perform a range of administrative tasks on behalf of the Victim & Witness Care Unit which help support victims and witnesses through the Criminal Justice System.


1. Create, update and maintain records held on the relevant computerised and manual filing system(s) throughout the department, ensuring that the information is accurate, up to date, accessible and compliant with local, regional and national guidelines.


2. Quality assurance of any information that is received, ensuring the accuracy and consistency of the data. Evidence and escalate any identified issues and, where appropriate, provide advice to support improvements in information quality.


3. Develop a thorough understanding of the relevant legislation and procedures to support the processing of the required legal documentation in line with any service level agreements that are in place.


4. Provide general administrative support to the Criminal Justice Department, including managing enquiries and, as appropriate, directing more complex enquiries onto the relevant area for resolution.


5. To research and provide information and statistics to stakeholders using the appropriate systems in line with legislative and operational requirements.


6. Regularly liaise with multiple internal and external stakeholders to ensure an efficient and effective service is provided.


7. Assist in the development and maintenance of IT systems and administrative processes to ensure that information and workloads are managed effectively.


8. To monitor incoming workloads through the management of the team mailbox and the Two-Way Interface (TWIF), assisting in the allocation of work to the Victim & Witness Care Officers in a timely manner.


9. Ensure that any information is disclosed to authorised personnel only.


10. To be responsible for the management and maintenance of spreadsheets within the Victim & Witness Care Unit, including, but not limited to, the collation of performance data.


11. To give regular and effective service.

Essential Qualifications


Educated to QCF Level 2 (3-5 passes) or to have undertaken work experience deemed to have brought the postholder to a comparable level.

Proven experience working in a busy administrative environment, undertaking administrative tasks to a high standard.
