Job description
We are looking for a responsible and experienced Administrative Assistant to perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include providing support to our manager and employees, assisting in daily office needs and managing our company’s general administrative activities within a small Architectural Practice in Guildford, Surrey.
This person will be carrying out admin support to workers within the practice. Their role will be to assist in the day to day running of tasks, mainly behind the scenes. Speaking with potential and existing clients, responding to emails, invoicing, typing up reports and issuing documents.
The right candidate will be able to work to strict deadlines without the need to be constantly overlooked.
In addition inputting marketing content on social media and other business tasks will be included so some previous experience of these will be required.
The position will include a 3 month probationary period with a review of the position and candidate after the initial 3 month period
GENERAL TASKS
- Answer and direct phone calls
- Organize and schedule appointments
- Organizing staff diaries
- Plan meetings and take detailed minutes
- Write and distribute email, correspondence memos, letters, faxes and forms
- Assist in the preparation of regularly scheduled reports
- Update CRM software
- Develop and maintain a filing system
- Update and maintain office policies and procedures
- Order office supplies and research new deals and suppliers
- Maintain contact lists
- Book travel arrangements
- Submit and reconcile expense reports
- Provide general support to visitors
- Act as the point of contact for internal and external clients
- Liaise with executive and senior administrative assistants to handle requests and queries from senior managers
- Invoicing/Credit control
- Communication with clients
- Marketing/social media/Website
- Typing reports
- Sourcing office supplies
- Postage
Requirements and Skills
- Proven experience as an Administrative Assistant, Virtual Assistant or Office Admin Assistant
- Knowledge of office management systems and procedures
- Working knowledge of office equipment, like printers and fax machines
- Proficiency in MS Office (MS Excel, Wordand PowerPoint, in particular)
- Excellent time management skills and the ability to prioritize work
- High attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
- Additional qualification as an Administrative assistant or Secretary will be a plus
The role is for a permanent position with a salary of between £22k - £26k per annum (pro rata depending on hours)
