Job description
We are looking for a full time Admin Assistant at our company Head Office at Crownhill, Milton Keynes. We are a rapidly expanding company and are looking for responsible individual who can assist in the variety of day to day tasks across our multiple companies on site. In this role you will be travelling to our various locations so a clean driving licence is essential. The ideal candidate will be someone who has excellent computer skills, is efficient, has excellent written English and telephone manner and enjoys fulfilling a diverse role. Highly efficient support in all matters assigned to them.
They will be involved in of variety of tasks including, but not limited to:
- Support with inbox management across the 3 photographic sites
- Data Entry and the importing and exporting of leads
- Debt Calls
- Weekly Excel mail merge and franking of mail
- HR Support (such as booking interviews for recruitment, annual leave requests, first aiders)
- Chasing artwork proofs
- General customer service enquiries
- Booking interviews for recruitment
- Supporting the Directors with their calendars and appointment setting (and adhoc tasks)
- Delivering artwork from Manufacturing (based at head office) to the 3 studios based in Northampton, Milton Keynes and Oxford. (Driving Licence is essential)
- Rota implementation
- New employee onboarding
- Asset Management
- Software account creation
- Proofreading
The ideal candidate we are seeking will have/be able to:
- Strong, confident communication skills both written and verbal, excellent interpersonal skills in dealing with people on every level within the business
- A highly motivated self-starter who is comfortable working independently, likes working to a weekly list of objectives (such as Trello)
- Highly organized and systematic, with a high attention to detail, quality, and follow-up
- Highly proficient in the use of Excel and Word with an excellent understanding of Windows as well as having the ability to learn new skills, systems and working methods quickly
- A team player, happy to adapt to the needs of the business and pick up adhoc tasks
- A current driving licence and car, as will be required to visit our different premises during the course of their work hours
- Assist in coordinating the recruitment process, such as scheduling interviews and conducting reference checks
The Companies:
The candidate will be providing support to all of the staff at Head Office which covers multiple brands, therefore the tasks involved will be from all of these sources and is likely to keep growing as our expansion plans do.
Over the last 10 years we have grown our main brand, Zen Shots, into the region’s leading photography company. We currently operate out of 3 studios and are looking to expand nationally. This is an exciting time to join a growing company with opportunity for professional development.
Our second brand, Squidge Print, provides hand crafted fine artwork to both of our studios as well as trade customers and other independent Photography Studios around the country. This is a quickly developing branch of our business and has a booming future this coming year.
We have a fantastic team of over 30 individuals across a variety of roles including Photographers, Bookings Team, Marketing, Printing and Manufacturing as well as experienced and supportive leadership and directors. We look forward to hearing from you.
