Job description

We're looking for an administrative assistant to join our friendly commercial team at HatHats Coffee Company.

We're looking for someone who is naturally organised, not afraid to get stuck in, and who can provide amazing customer service and assist our Commercial Manager with day-to-day admin tasks.

The important bits you'll want to know first...

  • Your working hours would be Monday - Friday, 9am - 5.00pm.
  • You would be based at our head office in Whitstable, and would have access to as much coffee as you could drink! We're based on the John Wilson Business Park (often referred to as the business park behind Sainsburys).
  • Your hourly rate would be between £9.45 and £10.90, dependent on national minimum wage/age.
  • Full training would be provided.

HatHats Coffee Company was founded by serial entrepreneur Louis Hurst and his wife Lisa, in 2015.

HatHats Coffee Company has grown a lot since its start-up days in a vintage Citroen van (‘Hattie’), with there now being seven HatHats sites in Reculver, Canterbury, Herne Bay, Whitstable, and Faversham. We are currently planning our next phase of development, as we open more outlets (there are a few in the pipeline!) and expand our venues and commercial offer.

The boxes you'll need to tick...

  • You are friendly and able to give amazing customer service.
  • Good verbal and written communication skills.
  • A positive 'can do' attitude.
  • You are not afraid to roll your sleeves up and get stuck in.
  • You are a naturally organised person.
  • Ability to work to your own initiative (in time, after full training has been given).
  • Ability to analyse and solve problems.
  • Excellent time management skills.
  • Proficient in working with technology; a large proportion of the role would involve using Microsoft Office and online systems.
  • It would be desirable that you have a full driving license and your own method of transport, although this isn't essential. However, you would occasionally need to be able to get to places as required in the role (eg. to our coffee outlets).

The in-depths of the job...

It is virtually impossible to list all of the tasks that you would be responsible for in this role, however we have listed some of the key tasks below:

  • Customer service; responding to customer e-mails, answering phone calls, taking messages, and connecting calls and forwarding e-mails to the relevant departments.
  • Bookings; to handle enquiries for our coastal classroom event space, barista training, pizza pool parties and complete administration in relation to these bookings.
  • Assisting with ordering and completing warehouse tasks; including greeting delivery drivers, completing temperature checks, checking delivery notes against orders, putting stock away, marking orders as received on our stock management system, stock takes, and keeping the warehouse clean and tidy.
  • Posting orders; shipping customer and trade partners' orders, including liaising with the coffee outlets to fulfil customer click and collect orders.
  • Assisting the finance department with administration tasks; including data entry, change ordering, preparation of any cash and cheques to be banked.
  • Assisting our Marketing and Events departments with daily admin tasks and help maintain/organise our busy events diary.
  • Greeting office visitors.
