Warehouse Administrative Assistant– Screen Print & Embroidery Factory
Essential Embroidery Design are looking for an Admin Assistant to join our growing factory team.
The role will include assisting the Warehouse Manager, Factory Operations Manager and factory team members where necessary. One day you may be helping process jobs through our Despatch system to book couriers and create waybills or packing slips, the next day you may be assisting in identifying and administering return stock, checking invoices against manifests or tracking parcels, or liaising between the office and factory to ensure documents are all present and correct. Over time there is the scope to learn the workings of the business administration systems fully. Whilst mostly administration, some handling of goods and boxes may be required.
The role is Monday to Friday 8am to 4:30pm with overtime available during busy periods.
The key responsibilities of a Warehouse and Factory Administrative Assistant are, but not limited to:
- Assisting booking in stock deliveries into our bespoke system, creating labels and stowing to location.
- Identifying and administering return stock – liaising with accounts to ensure credits are raised
- Processing bulk returns stock documents, checking returns notes from suppliers and keeping appropriate records.
- Creating courier waybills, commercial invoices, transit labels and manifests
- Tracking parcels to ensure goods have reached destination.
- Using our bespoke system to keep notes on jobs so the factory team are updated with most current communications
- Use of Email/telephone to converse with office staff or couriers to assist the warehouse manager in resolving issues. Good use of English Language essential
- Checking invoices against manifests
- Checking logs are being filled out correctly
- Assisting in generating picking/packing lists and labels from customer supplied spreadsheets.

The Person
The key skills and qualities we are looking for in a Warehouse and Factory Administrative Assistant:
· Precise eye for details: alpha-numerics and colour.
-Systematic, organised and logical approach to administrative duties, including filing and record keeping.
- Experience in administration, filing, computers.
· Some Manual handling of garments/pallet truck handling.
· Good verbal and written communication with the company teams.
·Very Good IT skills: Word/Excel/Email/Ipad/Web/Bespoke company computer system.
-Ability to analyse information to identify problems so they can be investigated and resolved.
