Treatment Coordinator - Qualified Dental Nurse

Oradent Dental Care, Rochester, Kent has a fantastic opportunity for a Treatment Coordinator - Dental Nurse to join their friendly and dynamic team. The successful candidate will be fully supported by our Senior Management Team which currently includes the Operations Director, HR Manager, Business Development and Patient Experience Director who continually work closely with the heads of our hard-working support staff to ensure the Treatment Coordinator - Dental Nurse is able to succeed and deliver their best in the role.

Hours: 42.5 hours per week, Monday to Friday, flexible shift pattern with occasional Saturdays on an adhoc practice needs basis. Full-time, permanent contract.

Reporting to the Dentist Practice Manager, the successful Treatment Coordinator - Dental Nurse will be responsible for managing the work of all clinical and non-clinical staff, ensuring service delivery and all operational aspects within a specified practice. This with the view to achieve excellent customer service, quality, cost and delivery performance in line with company strategy, goals and values.

Treatment Coordinator - Dental Nurse (Qualified)

The role of the Treatment Coordinator - Dental Nurse:

  • Focus on ensuring that team members and patients are cared for and effectively managed, as well as ensuring the practice reaches specific goals and KPIs.
  • You will have experience in compliance and understand the requirements of CQC. You will have access to a full compliance package to help you manage your practice compliance responsibilities.

  • You should work autonomously, utilizing your analytical skills to form an accurate account of the practice business.
  • Ensure the practice runs smoothly and efficiently in line with the business vision.
  • Be responsible for the effective and safe management of our dental practice.
  • Assist patients on their journey through the consultation process and ensure all enquiries are handled effectively and quickly.
  • Responsibility for the complete patient journey, ensuring a consistent experience for all patients and leads.
  • Completing all internal trackers and paperwork as required by the organisation and to assist the patients on an excellent patient journey.
  • Follow up individual patient lists with the aim of converting patients and generating revenue.
  • Reporting to line managers and the senior management team in regards to performance against listed KPIs and targets.
  • Handle payments to the practice by card, finance and BACS transfer.
  • Keep accurate records of financial transactions for patient treatment plans.
  • Work with the management team to keep them up to date with new patient pathways and implementing updated patient journeys.
  • Make future appointments as required, including follow up calls reviewing treatment plans.
  • Working closely with our marketing team and sales lead to increased patient uptake.
  • Develop and keep up-to-date all practice policies and act in accordance with practice rules and code of conduct.
  • Plan the income targets for the practice.
  • Manage NHS contract targets.
  • Control inventory and stock ordering system.
  • Ensure the practice continues to grow and attract new patients.
  • Record keeping in line with GDPR and practice procedure.
  • Work closely with clinical staff to ensure optimal diary management.
  • Excellent written and verbal communication skills.
  • Discussing treatment plans and costs.
  • Management of lab-work leaving and arriving at the practice.
  • Upholding and implementing Covid-19 health & safety protocols and maintaining good cleanliness and cross infection in non-clinical areas.
  • Be familiar with CQC requirements and compliance.
  • Excellent people management skills and be familiar with HR regulations and procedures in line with the latest up to date policies. Oversee Rotas and timesheets for staff. To ensure that all staff are complying with current legislation such as Fire, Health & Safety, CQC regulations, RIDDOR and COSHH.
  • The candidate will be involved with all aspects of the patient journey for new and existing patients. They will handle all new leads and patients according to the designated pathway, ensuring all information is captured and recorded as required.
  • Conduct Telephone Consultations/Call backs/ and face to face contacts with new and existing patients with the aim of building rapport and securing attendance for a Dental Consultation, and completing all necessary reporting via our CRM system and directly to the clinicians.
  • Have the ability to promote treatment and have the drive to optimise as many patients into treatment prescribed by the dentists.

Treatment Coordinator - Dental Nurse

Qualifications

  • Dental Practice Nursing 2 Years (preferred).
  • GCSE or equivalent (Preferred)
  • GDC Registration (Preferred)
  • ILM level 3 or above in Leadership and Management (Preferred).
  • CQC Registered (preferred).

Experience

  • Managing: 2 years (preferred).
  • Have a polite and courteous demeanor.
  • Be organised, and able to manage variable management situations.
  • Be able to manage multiple people on site and to be the line manager for all people on site.
  • Experience with compliance protocols.

Skills

  • Able to demonstrate initiative.
  • Flexibility and adaptability to meet the needs of the business.
  • Demonstrable customer/patient service skills
  • Proven ability to work effectively in a team environment and independently as required.
  • Commitment to further training and self-development.
  • Demonstrate success in leading teams and managing people.
  • Must be an excellent communicator.
  • Excellent organisational skills and time management skills.
  • Good IT skills and competency using CRM software (training will be provided on package).
  • Dental knowledge and experience using the 'Exact' dental software, but not essential as training will be offered.
