Imperial’s Transport Strategy Centre (TSC) is looking for an Administrative Assistant to provide support to the Centre Support Manager. You will provide support for all administrative functions from event management to financial administration. As a first point of contact, you will provide excellent customer service and will engage with colleagues, the wider College, and external partners.
The TSC is a friendly and supportive team, consisting of 45 professionals, who are committed to working together to conduct high-quality benchmarking of public transport globally that makes a real difference to our client transport providers and other stakeholders. You will gain insight into the TSC and have exposure to colleagues across the College. You will become knowledgeable in the College’s administrative processes that range from recruitment to new supplier set-up.
To be successful in the role, you will have a passion for administration. You will be skilled at building relationships and managing your workload and have strong attention to detail.
Duties and responsibilities
You will provide support in the following areas:
- Office administration. You will provide high-level front-line support to the Centre Support Manager, TSC Staff and Students to ensure the smooth running of the TSC.
- Financial administration. You will assist with Purchase Orders, set up new suppliers, track spending, address queries, and support the year-end financial process.
- Communications & IT. You will monitor and update websites and social media platforms, TSC briefings and support the TSC IT filing systems.
- Event management. You will assist with the organisation of internal and external meetings & Benchmarking Consortia meetings, travel and accommodation bookings as well as prepare any associated materials.
- Human Resources. You will assist with the TSC recruitment process and coordinate the induction process for new members of TSC staff and PhD Students.
Essential requirements
- ‘A’ or ‘T’ Levels or equivalent.
- Computer literate, including MS Office, Excel, Word, and Outlook.
- Ability to work independently or as part of a team.
- Excellent interpersonal and organisational skills.
- Ability to assess priorities, organise workload without direct supervision and initiate action where appropriate.
- Good degree of numeracy
- Ability to maintain a high degree of accuracy and attention to detail
- Fluency in written and spoken English.
- Ability to work at pace.
