An exciting opportunity to join as our Future Talent team as a Team Coordinator in assisting with administrative duties and projects within our Apprentices and Graduate teams.


Team Overview :


A busy team of 11 is headed by Naomi Chandler and is split into the recruitment and management sub teams of the Graduate Programme along with support of the Apprenticeship team. It is a highly dynamic and sociable team with lots of opportunity to gain in-depth knowledge of all divisions.


Role Overview :

This is a permanent position based in the Future Talent team requiring high levels of self-motivation and drive to ensure the effective administration and coordination of processes in relation to graduate and apprentice recruitment and programme activities.


  • Key Responsibilities :
    Support the team, working effectively, proactively and collaboratively together in all matters:
    • Track and process financial matters – budget control, invoices, expenses and credit card
    • Processing Sign Language Interpreters invoices monthly with Department for Work and Pensions for reimbursement
    • Support the team in delivering high quality marketing and written documentation and materials
    • Event management; catering, room bookings and attendee lists
    • Database management
    • Support the team with diary management and business planning (including organising team meetings)
    • Negotiate with suppliers
    • Book and manage team travel ensuring best value for money
    • Manage the payroll administration support for all intern, apprentice and graduate employees
    • Manage all reference requests - employment and tenancy

    Recruitment :
  • Administration support for internship, graduate, school and apprenticeship programmes:
  • Assessment centres
  • Event organisation
  • Data coordination
  • IT administration
    • Administration support with recruitment events
  • University careers fairs
  • In-house presentations/networking
  • Manage the graduate recruitment inbox
  • Knowledgeable user of applicant tracking system (Team Tailor)
  • Adding all graduate vacancies to relevant university portals for advertising purposes
  • Building relationships with university contacts
  • Booking feedback calls with unsuccessful candidates for recruitment team
  • Summer Scheme IT
  • Liaising with Shared Services team about right to work documents

    Graduate Management :

    • IT updates
    • Updating facilities on changes
    • Professional qualification membership
    • Professional body enrolments, renewal and payment administration
    • Masters degree sponsorship administration
    • Graduate event administration to include the Meet & Greet and Graduate Induction
    • New Joiner Process:
    • New User IT set up, ordering of IT devices and liaising with IT Procurement to ensure devices arrive on time for graduates starting in the business, updating the Grad team on new starters and updating the grad log
    • Checking appraisal documents have been saved in APC folders for the rotational graduates per rotation

    Apprenticeships :

    • Administration support for Apprenticeship databases
    • New Joiners:
    • New User IT set up, ordering of IT devices and liaising with IT Procurement to ensure devices arrive on time for apprentices starting in the business, enrolling apprentices onto their course
    • Support with events coordination i.e. managing attendees, booking rooms, ordering food, preparing paperwork, creating badges, submitting expenses post event
