Job description
The overall aim of this role is to create and promote an environment of service excellence amongst front of house team by ensuring a five star, intuitive, continuous, seamless, and personalized level of service is provided to all clients and employees.
In this role you will provide high level administrative support in the London Administration & Facilities team. The role serves as the first point of contact for both internal and external customers and covers all aspects of support required for the improvement of stakeholder experience. You will be reporting into the AVP, Head of Administration and Facilities – Europe.
As part of the role, the position holder provides ad-hoc administrative support to the following senior managers based in London office
- SVP Head of Group IT Services & Operations
- VP / AVP senior managers in the wider IT team
- VP Head of Reserving
- VP Head of Internal Audit
Duties of the role:
Front of House & Office Services
- Building access management including building permits, loading bay & goods lift access
- Provide welcome to all visitors to the office, inform relevant hosts/employees, direct to meeting rooms, offer refreshments etc.
- Operate switchboard, handle general enquiries, and pass on messages to the employee
- Liaising with onsite teams and manage requests to the building Service Desk via the Property Management Tools system
- Coordination with onsite support team – IT, catering, cleaning, facilities maintenance, admin et al.
- Share office service & facilities updates in Teams channel/by email
- Maintain safe and clean reception and client facing area by complying with procedures, rules, and regulations
- Monitor Reception & Catering mailboxes and respond to queries and requests from stakeholders and disseminate actions and information accordingly
- Manage meeting rooms and the associated calendars
- Provide ad-hoc support for clients and group colleagues visiting the London office, including presentation materials, room & IT set-up, providing Wi-Fi codes
- Monitor Visitor Log and ensure that seats and rooms are allocated and configured as required. Post weekly group visitor lists in Teams channel
- London office employee onboarding/offboarding support
- Posts and shipment handling including courier bookings
- Provide absence/backfill covers for Receptionist & Facilities Coordinator
- To encourage and support the CSR driven initiatives on sites, raising money for charities.
Administrative Support
- Ad-hoc administrative duties for AVP, Head of Administration and Facilities – Europe and the wider team
- Ad-hoc travel assistance for the above senior managers and Group visitors
- Ad-hoc support for office-wide events coordination
- Order stationery and other office supplies
- Ad-hoc assistance with expense processing for the abovementioned senior managers
Required skills, attributes, and experience
- At least 2 years previous experience working in comparable position ideally in corporate environment
- Excellent interpersonal skills with the ability to build relationships with external & internal customers, peers, building management, and third-party contractors
- Strong time management and follow up skills to ensure successful task completion
- Strong working knowledge of the Microsoft Office suite
- Ability to coordinate multiple tasks and responsibilities and remain calm under pressure
