About the job
As Service Administrator you are responsible for the efficient operation of all Service Centre administration and coordination of their Service Engineers.
Main Responsibilities
- Dealing with customer queries/enquiries/instructions over the phone or email in a polite and efficient manner and resolving their enquiries
- Accurately escalate any queries or enquiries to the Service Supervisor or Service Manager as necessary but also to be confident in using your own initiative to deal with customers/branch personnel in the absence of management.
- Co-ordinate all relevant paperwork to enable the output of the service centre to be invoiced quickly and to ensure that customer accounts are settled as quickly as possible.
- Ensure all service centre records are maintained in a manner satisfactory for audit purposes.
- Ensure all necessary stocks of stationary are replenished as needed.
- Maximise co-operation between branch administration and service personnel therefore promoting an efficient and pleasant working environment.
- Co-ordinate the activities of a team of field service engineers to ensure maximum efficiency of resources that will satisfy the current and future customer base.

Required Experience
- Minimum of 3 years office administration experience
- Excellent knowledge of using computer systems to manage administration, including above average skills in Microsoft packages (Outlook, Word, Excel, Powerpoint)
- Project systems experience
- Experience of IFS and advantage, but not essential

About the Business area
The Installation and service division of J & E Hall installs HVAC and refrigeration equipment into a wide range of applications. Our flexible service and maintenance solutions allow our engineers to provide planned maintenance, repair, and emergency breakdown cover.
J & E Hall supplies multiple industries including food processing, brewing, petrochemical and retail and we regularly work with companies like Heineken, Morrison’s and the Ministry of Defence. A third of our workforce are service engineers who work remotely from nine UK service centres on customer sites.
