Hours: full-time (37.5 hours per week), Monday-Friday, 8:30 am - 5 pm
Location: Lynchburg, VA 24501
Position Summary
The Scheduling Assistant schedules all client appointments for both child and adult providers. This includes, but is not limited to, follow up appointments, new client appointments, transfer appointments, hospital discharge appointments, and new referrals to the agency.
Required Education and Experience
- High school diploma; knowledge, skills and abilities comparable to that of a high school graduate are required. Associates in healthcare preferred.
- One year of medical scheduling experience or an equivalent combination of education and experience that provides the required knowledge, skills and abilities.
Related Knowledge, Skills and Abilities
Knowledge of electronic calendaring programs (e.g. Microsoft Outlook, Credible) for scheduling appointments and setting reminders; Ability to use a computer to input data, access information, and/or create materials and documents using a variety of software applications; Knowledge of electronic medical records; Knowledge of proper spelling, grammar, punctuation, and sentence structure to ensure that written materials prepared and reviewed are complete, concise, and error-free; Ability to exercise sound judgement when making decisions in accordance with program or work unit goals and objectives; Excellent active listening skills; Exceptional attention to detail. Ability to record accurate data and complete documentation within established expectations and by communicated deadlines; Excellent phone and email etiquette; Ability to work with individuals of all levels. Ability to demonstrate a concern for the needs and expectations of our internal and external customers and make them a high priority; Ability to respond effectively to changes in the work environment in a positive and professional manner; Ability to present and express ideas and information clearly and concisely in a manner appropriate to the audience, whether oral or written. Actively listens to what others are saying to achieve understanding; Ability to work independently with minimal supervision; Ability to use tact and diplomacy when dealing with the needs, problems, and/or concerns of the other department staff, outside agency personnel, and/or the public; Ability to maintain the confidentiality of sensitive and confidential information obtained through the course of completing assignments (e.g., and personnel related issues, projects); Willing and available to work a modified schedule (weekends, holiday, etc.) as required; Ability to drive and must possess a valid driver's license. May be required to travel to different Horizon work sites during the day based on operational needs or provide admin support at other locations. Regular attendance at trainings and Horizon meetings may require travel to a variety of Horizon sites.
