Sales & Events Assistant
The Sales & Events Assistant is responsible for coordinating and assisting in the daily operations of the Catering Sales & Conference Services team. You will provide direct administrative support while performing a wide range of duties. You will also assist with day-of events to ensure our Guests have the best experience possible. This position is a blend of administrative work, hands on during events, and part customer service.
What You Will Be Doing:
- Provide administrative support to Catering and Sales teams including merging proposal letters and letters of agreement, mailings, distribution of all banquet event orders, and daily distribution of all changes.
- Prepare and distribute the Catering 10-day Listing of Events weekly.
- Assist with new inquiries and emails.
- Calling clients with details on events
- Assist with billing as necessary, posting deposits, and closing billing.
- Ability to generate accurate invoices.
- Complete and abide by standard operating procedure and checklists for each group.
- Maintain up-keeping of all Banquet Event Orders, ensuring all changes requested by Event Coordinator or Director are updated.
- Manage communication in the Catering Sales Office and Catering Team, including answering telephone calls and emails.
- Participate in daily inspection of all banquet rooms prior to client's arrival to ensure all set ups and floor plans are accurate according to the banquet event orders.
- Develop skills to conduct site inspections and tours for walk-in appointments independently.
- Have complete knowledge of hotel services and accommodations.
- Participate in hotel and sales training programs when applicable.
- Jump in with the catering team as needed.
- Maintain and update inventory materials and lists, such as beverage and spirits lists.
- Ensure prompt and courteous service is extended to both internal and external customers.
Your Experience and Skills Include:
- Previous experience in Events, Food & Beverage advantageous.
- Previous Catering, Hotel, Resort experience
- Mastery of Microsoft Office Suite including Excel and Word.
- Knowledge of TripleSeat and AllSeating is a plus.
- Ability to learn and master multiple software platforms.
- Must be professional, enthusiastic, a strong team player and possess excellent organizational skills.
- Exercise a sense of discretion and maintain client privacy.
- Energetic, self-motivated and flexible to change.
- Excellent verbal and written communication skills.
- Proven ability to meet deadlines in a fast-paced work environment.
