Office Junior/Receptionist Duties
Job purpose: The Receptionist is responsible for being the ‘face’ of More Group and providing an exceptional client experience in Head Office. Also providing secretarial, clerical and administrative support in order to ensure that services are provided in an effective and efficient manner.
Key tasks
- Meeting and greeting clients
- Booking meetings
- Arranging for documents to be Notarised and Legalised.
- Arranging couriers in a timely manner
- Answering and forwarding phone calls
- Answering Skype/zoom calls if needed
- Logging new leads on Service Desk and informing Business Development Officer of lead
- Screening phone calls and taking messages
- Sorting and distributing post
- Prepare the boardroom before and after every meeting
- Manage the clean desk policy in the office and make sure the office is always clean and tidy
- Maintain the printers and order any new supplies when needed
- Manage stationary orders and ensure stationary cupboards is organised at all times
- Manage the refreshments for the office:
- Perform other clerical duties such as filing, photocopying, collating, faxing etc
Knowledge and skills required:
- Represent the More Group brand by providing clients with an exceptional client care experience in Head Office
- Methodical and rigorous in approach, balancing the commercial viewpoint with accuracy and attention to details at all times
- Ability to prioritise, and work under pressure when needed to meet deadlines
- Able to take initiatives and have good problem-solving skills
- Ability to interact positively with a broad range of people
- Self-motivated
- Excellent communication skills both written and oral with a proven ability to communicate effectively with senior management and colleagues
- Ability to provide added value services to clients
- Smart business attire to be worn at all times
