Job description
- Meet and greet service to all members of staff and visitors to the building. Provide assistance as necessary, including directing them to the appropriate area, dealing with queries and making travel and accommodation arrangements where required
- Provide administrative support either for the customer or for the wider FM team, filing, photocopying, note taking,preparing and distributing papers, letters and other correspondence, and carrying out small administrative projects as directed
- Maintain information on databases and run standard reports for information as required
- Make the arrangements for conferences, seminars and meetings, including booking equipment, parking, meeting rooms and catering
- Ensure that security is maintained by checking ID cards or following specific building protocols
- Receiving and vetting all visitors to the building
- Issuing and programming of access cards
- Receive and log deliveries and courier mail, sort outgoing mail for the University messenger, franking Royal Mail, and assisting staff in organising couriers as requested
- Email general announcements to departments in the building
- Alert relevant staff of security or building issues including contacting University Security Services or Facilities when necessary
- Take incoming phone calls, answer queries and redirect them appropriately to departmental extensions
- Maintain the tidiness and organisation of the reception area ensuring a smart professional image at the first point of contact
- Monitor and maintain stationary and refreshment supplies
- Managing vehicular access
- Responsible for dealing with enquiries and taking the necessary action to deal with any problems which arise
- The person appointed must enjoy working with people and have a competent, professional manner in dealing with customers, both face-to-face and by telephone and e-mail as appropriate
- Proven Reception experience
- Ability to use standard computer programs (Outlook, Word, Excel), appropriate use of email and internet
