Job Summary
Our medical receptionists are the face of our practice therefore it is important to have a pleasant demeanor and make eye contact when patients enter the door. You should have the ability to answer the phones in a professional manner, and be able to multi task. You must be detail oriented, and a hard worker.
Responsibilities and Duties
1. Answer multi-line telephone system, take accurate messages, screen and direct telephone calls to the appropriate person in an efficient manner.
2. Courteous greeting and identify patients and visitors as they enter the office in reference to the daily schedule and obtain additional patient information as needed. Collections of all co-pays & the patient balances.
3. Request patients and visitors be seated in the waiting room in a courteous manner and communicate unexpected delays when necessary.
4. Review patient charts to ensure proper documentation and information are enclosed in accordance with practice guidelines.
5. Acquire necessary medical records and documents in advance of appointments for patient charts by communicating via telephone, facsimile or in person with other office locations or office personnel.
6. Maintain a neat and organized waiting room and order supplies as needed.
7. Schedule patients for appointments and re-call appointments in an efficient and productive manner.
8. Submit insurance forms to insurance companies as required for authorizations prior to patient visits.
9. Receive payments from patients for services rendered and prepare cash log journals
10. Maintain routing slip journals
11. Create financial arrangements with patients for all treatment.
12. Enter financial transactions and miscellaneous correspondence on computer.
13. Keep notes of all transactions involving patients, scheduling, insurance changes, authorizations, payment arrangements.
14. Stay current on faxes for medical record requests, prescription refills and new patient referrals
15. Perform other related duties as assigned.
CHECK IN:
Verifies all patient demographics are correct, & input in the system, & eligibility is checked & any needed authorization is in the file. This includes verifying the insurance in the system, before chart is put up. Takes all patient payments, enters into daily cash receipts log & is responsible to turn over the totaled charges & receipts to billing at the end of the business day. Last person to answer the phones. No chart to go up until all this is input to computer & eligibility verified.
ELIGIBILITY RECEPTION:
This receptionist is the 1st person responsible for answering the phones. Pulling all charts for upcoming visits & doing all patient eligibility checks & getting any needed prior authorizations.
CHECK OUT:
Makes patients follow-up appointments, & initials the chart where the Dr identifies when he wants the follow-up. Adds any codes needs for future prior authorizations. Totals the routing slip charges & is responsible for turning them into billing if not same day, the next morning. Fill in the daily routing slip log, & turning in the routing slips to billing, cross referenced by the sign in sheet. 2nd person to answer the phones.
