Who are you
We are looking for a dynamic and detail-oriented Front-of-House Receptionist to join our exceptional team and contribute to the smooth operation of our London office, while also providing support to our fantastic teams.
Collaboration and teamwork are at the heart of this role. Beyond that, you will take pride in curating a welcoming and secure workplace, offering a helping hand in event management, and providing dedicated assistance to our valued clients. As the first friendly face everyone encounters, you will play a crucial part in crafting an exceptional experience for anyone who engages with us.
This opportunity is based in our dynamic London Studio, and we are seeking an individual who embodies superb organisational skills, a hands-on approach, and a natural talent for delivering outstanding customer service in our creative and relaxed environment.
The Role
- Being the first point of contact for staff and clients.
- Manage Studio diary, scheduling multiple meetings and appointments in an office environment.
- General studio maintenance and assisting the Studio Coordinator with various tasks.
- Communicate between teams, contractors, suppliers and clients.
Typical tasks and projects you will work on:
- Responding to incoming queries, taking messages and being the first point of contact to the Studio.
- Prioritising security - such as IT requests, opening and closing the studio at times, handling suppliers etc.
- Booking company travel, couriers, taxis and accommodation.
- Supporting IT with onsite technical issues (such as ensuring screens are turned on for remote staff).
- Ensuring the front of house is kept tidy and presentable.
- Coordinating equipment for remote working.
- Booking in maintenance suppliers for building works.
- Assisting facilities management.
- Organising client and staff gifts and events.
- Managing meeting room bookings for the organisation, ensuring priority is given to key projects and client visits.
- Maintains office security processes, ensuring visitors comply with security checks and the signing-in system and that only authorised people are allowed entry to the building.
- Ad hoc administration duties to support the Operations team and stakeholders where needed.
Required Skills/ Experience
- Excellent attention to detail and organisational skills.
- Ability to work independently.
- A problem solver, calm & professional.
- A can-do attitude, positive, driven and enthusiastic.
- Advanced communicator in person and in writing.
- Ability to deal with stakeholders at all levels with credibility and ease.
- Experience in a fast-paced environment such as the hotel or hospitality industry is preferred.
- A self-starter, someone who will seek to keep learning and keep on top of tasks with an ability to work under pressure.
- Must have demonstrable experience in handling multiple meeting spaces, multiple front-of-house tasks and customer service.
