PURPOSE OF POST
· Provide a professional, efficient and courteous reception service to patients.
· Handle arrangements for appointments, registrations and referrals.
· Ensure that patient data is accurately recorded and maintained across practice systems.
· Ensure that incoming/outgoing post is dealt with promptly and efficiently.
· Ensure that filing and record keeping are organised promptly and efficiently.
· Work effectively as part of the team
KEY AREAS OF RESPONSIBILITY:
1) DESK WORK
~ To make appointments for patients to see a doctor, nurse or other health care professional.
~ To receive and direct patients on arrival.
~ To answer general enquiries in person or on the telephone and explain surgery procedures.
~ To make follow-up appointments and receive requests for repeat prescriptions.
~ To deal with registration of new patients in accordance with Practice procedures.
~ To deal with patient letters of referral and repeat prescriptions.
~ To ensure that letters and new/repeat prescriptions are given to the doctors for checking before they are collected by patients.
~ To organise the smooth running of various clinics as directed (eg Child Development etc).
~ To ensure that adequate supplies of stationery are available in consulting rooms and reception areas and to advise the Reception Manager when stocks need re-ordering.
2) TELEPHONE WORK
~ To answer incoming and internal calls promptly.
~ To deal with enquiries or pass them on where appropriate.
~ To record detailed messages accurately and efficiently and pass them to relevant personnel using agreed practice protocols.
~ To answer patient requests for test results according to practice protocols.
~ To receive and record requests for home visits.
~ To receive messages for nurses and other attached/aligned personnel.
~ To ensure that relevant phones are switched to answer phones when Reception is closed.
3) COMPUTER WORK
~ To be familiar with and follow Practice Information security and Internet & Email usage policies.
~ To train in and use the practice IT systems as required.
~ To enter and maintain patient data accurately and in line with Practice protocols.
~ To update and maintain all aspects of the electronic appointments systems, including booking patient appointments at the surgery and via the hospital booking service.
~ To set up electronic sessions for clinicians and circulate surgery lists as required.
~ To undertake responsibility for specific tasks as directed, eg scanning.
4) RECORD WORK
~ To ensure that all necessary registration documentation is completed and entered on the computer before the patients see the doctor/nurse.
~ To extract and file patient notes and investigatory results as required.
~ To distribute patient records to doctors/nurses where directed.
~ To print and/or pull notes for home visits and following day appointments.
~ To file records received from the health authority, extract records of removals and prepare for collection on weekly basis or as appropriate.
~ To deal with all the health authority correspondence and requests regarding patient registrations e.g. change of address, prior notifications etc.
~ To act on information received regarding patients' change of address according to practice protocols.
~ To repair and maintain hand held medical records.
5) GENERAL
~ To undertake training and attend staff meetings and in-house training days as required.
~ To open the premises on arrival and check heating and ventilation and restore telephone services.
~ To open and sort incoming post promptly.
~ To ensure that all work areas are left tidy and ready for use by incoming colleagues, together with handover information on all unresolved or urgent matters.
~ To check clinician names are amended as and when required.
~ To check all NHS stationery and stock levels and re-order as required.
~ To train and act as chaperone for the clinicians as required.
~ To collect the lunch for practice meetings on a rota basis with other practice receptionists.
~ To participate in Reception cover rotas inc extended hours and weekends as required.
~ Other duties appropriate to the role as directed by the Reception Manager.
OTHER
· All Receptionists are expected to be flexible, able and willing to cover each area of the job description and take on areas of responsibility. In the event of absence, all staff will be expected to be flexible and cover for colleagues.
· All practice staff must be aware of the importance of confidentiality. Breaches of confidentiality will be considered as gross misconduct and reason for immediate dismissal.
· Practice rules, policies and procedures are available on the Practice Intranet. The post holder must read these and be aware of his/her personal responsibility to comply with Practice rules, policies and procedures. If the post holder is unsure on any issue regarding Practice rules, policies and procedures, advice should be sought from the immediate line manager.
· All practice staff should be aware of their responsibilities under the Health & Safety at Work Act (1974) and more recent relevant legislation.
· The postholder may be required to change his/her principal responsibilities at any time should the needs of the organisation so demand and to that effect this job description will be subject to periodic review and amendment in consultation with the postholder.
