As Front of House Receptionist/Concierge, you will carry out a critical role within the business. You will report to the Office Operations Manager and act as the first point of contact for all visitors to the third floor of our state-of-the-art Television Centre offices here in west London. Within this role, you will be responsible for ensuring the experience that all clients and guests receive when visiting the office is a positive one. A well-presented and highly welcoming demeanour is therefore expected at all times.
As our Front of House Receptionist/Concierge, you will also be responsible for the efficient running of your brand floor and will be regularly looking to improve ways of working to accommodate the requirements of your stakeholders and the wider business.
Key responsibilities include:
- Booking in all visitors for your brand floor with the Building Management Reception in a timely and efficient manner
- Ensuring the reception area is never left unattended and adequate cover is always arranged for lunch, holiday and sickness
- Providing full support to internal and external stakeholders
- Communicating any key messaging across your floor and maintaining an accurate email distribution list
- Taking ownership for the efficient running of your floor and ensuring all staff and visitors have what they require at all times
- Liaising with hospitality, facilities and other teams to ensure all meetings are accurately booked and any food and beverage requests are provided
- Escorting guests to their meeting rooms and ensuring they are aware of any facilities they may require during their visit
- Ensuring meeting room AV is functioning at the beginning of each day and supporting the set-up of AV equipment to internal meeting rooms
- Building strong relationships with the other floor receptionists and the PA/EA community to ensure efficient and effective communication
- Organising the provision of IT equipment and stationary for new starters & freelancers as required
- Exceptional organisation skills and attention to detail
- Clear and confident communication skills, both verbal and written
- A passion to provide excellent customer service at all times
- The technical know-how and capabilities to use audio, video and other media equipment
- Great interpersonal skills and can positively engage with colleagues and visitors
- Able to work productively at a fast pace and under pressure
- Proactive in your approach and solution focused
- Capable of working independently and using own initiative
- Experience in a similar customer/client facing role is advantageous
