Portico are on the lookout for a Receptionist to join our team based at a law firm located in the heart of the city.

Working alongside a team of experienced, high performing Receptionists. The main responsibilities for the successful candidate will focus around taking care of the visitor journey from a smooth and warm welcome, to a found and memorable farewell. Providing exceptional levels of customer service along the way!

Some of the key responsibilities of the role are: -

  • Ensuring visitors are signed into the property and verified to be an authorised visitor before being provided with access to the lifts.
  • Ensuring all visitor passes have been checked back in from the previous day and are in number order
  • Remain vigilant and look out for any security risks such as left luggage or unregistered visitors loitering in the reception areas
  • Meet and greet all clients and employees in a warm and welcoming manner
  • Take clients’ coats/bags and store safely
  • Advising hosts of their visitors’ arrival and organising beverages
  • Booking meeting rooms and reconfirmation of all bookings
  • Checking of all meeting rooms to ensure the correct set-up for forthcoming meetings
  • Ensure reception, client lounge and all client areas are maintained clean and tidy, liaising with the cleaning team for any spillages or areas that require attention
  • Booking taxis for clients on request
  • Ensure meeting rooms are managed and set-up correctly including any presentation support, video/telephone conferencing, stationery, catering and hospitality requirements
  • Assist client functions when necessary
  • Answering the reception phone within 3 rings and doing so in a courteous and professional manner
  • To take ownership of enquiries providing an appropriate response
  • Monitoring trends, data and statistics and reporting monthly
  • Act as an ambassador to the client
  • Be fully conversant with the firm's security and clear desk policies and procedures
  • Ensure housekeeping and maintenance issues are logged / reported and discuss any issues with your line manager
  • Advocate of the firm’s space use processes, able to articulate the reasons behind them and capable of resolving problems, always looking for facilitating positive solutions
  • Compliance in supporting the risk manager of the floors
  • Be knowledgeable regarding when partners / staff may approach with any question relating to office operations, room bookings, stationery, AV and IT, and any other ad hoc queries and support any service requests.
  • Target recurring issues to find suitable solutions, escalating to your line manager if needed
  • Listen to customer feedback and comments politely and attentively, taking ownership to follow up with required action in line with company policy
  • Keep all property notice boards neat, up to date and displaying approved notifications only
  • Develop and cultivate an enhanced knowledge of the site, to best promote facilities and resources, providing tailored information and advice to best meet the client’s needs
  • Be aware of relevant legislation to include health & safety
  • Provide a handover at the end of your shift for the security team

Shifts: 40 hours per week, rotating shifts between 8am-8pm, Mon-Fri

The successful candidate will be a proactive problem solver and confident customer service professional, as the Receptionist will be expected to use their own initiative to make “in the moment decisions” daily.

They must be able to think and respond quickly to any given situation and therefore will be able to demonstrate a high degree of flexibility, as well as an excellent ability to quickly understand the needs of both individuals and the firm.

The Receptionist will need to be able to build strong relationships with key stakeholders at all levels, they will also need to make excellent first impressions on visitors and be a proud ambassador for the firm.

A good knowledge of Corporate Reception and experience within a high-end customer service role are both essential requirements.
