Job Role:
As the first point of contact for all outside visitors, including but not limited to, health professionals, family and friends of our residents and contractors, you must ensure you meet a high standard of professionalism. It is your duty to navigate both professional and personal visits within the home.
Communication is a constant within this role, you must have the ability to communicate thoroughly with all departments, while always in keeping with the appropriate data protection guidance. You must also communicate with residents’ families, should the home have any situations which require you to do so. Should a new resident arrive with us, you are the first to meet them and their family, you must make them feel welcome, and are responsible for their information and informing the appropriate areas of this information. You would also be responsible for keeping notice boards up to date with various information, including the staff board, and staff and resident records.
IT skills are a mandatory requirement for this role, you must have experience with using PCs, especially using Microsoft office, for professional emails. Microsoft excel would need to be used often for recording information on spreadsheets, along with Microsoft Word, to create letters, posters, and various other requirements. Basic knowledge of using internet explorer is necessary, as you will at times be asked to order supplies, complete the daily tracker, and more.
Administration duties are also expected from you and can relate to all areas of the home, be it writing meeting minutes, creating forms for clinical use, menus for residents, rotas for housekeeping teams, and updating our company brochure.
Knowledge of using a phone is vital, you must have a professional attitude to all calls, and understanding of how to forward calls appropriately, passing relevant information as you do so. An understanding of Safeguarding and the relevant procedures is important – so only appropriate information should be passed through phone calls, emails or in person. Having the ability to know when to give out any information requested, and where to pass the calls or visitors to, is crucial.
Delivering post to our residents and staff is expected daily. It is also reception’s duty to take any post to the post box after your shift. Any external deliveries, such as medication, PPE orders, amazon deliveries, etc, must be distributed to the correct areas of the Home.
The daily Capacity Tracker set up by the council is a mandatory daily requirement, you must check with all departments for staff absences and the details of their absences for your tracker. Any absences you may find, you must report to management and HR.
You would also be expected to assist our activities team with various event organisation, along with sending emails to relatives to inform them of any changes within the Home. You would be responsible for posting on our Facebook page, professionally, to keep families up to date with the latest activities. You must be able to create/update PowerPoint's for the television in reception and ensure the reception is always presentable.
Hours: 22 per week – applicants must be flexible to cover different days for annual leave and sickness
