In just 6 months we create a private autobiography to be shared with the family. We help our authors relive and recount the amazing stories of their life through personal face to face interviews. Our professional writers craft the book in both words and pictures.
Scope
We are looking for a team player to join as a full-time Project Coordinator. You will manage a number of projects, working towards producing each author’s autobiography and managing their LifeBook Memoirs experience throughout. You will work closely with a production team for each project, comprising an interviewer, ghostwriter, editor, typesetter and proofreader.
Your role will be to fully manage this process, from the commencement of the project through to print production. You will be the central point of contact with the author and/or client during the project, ensuring that everything is running smoothly and meeting expectations.
LifeBook Memoirs’ rural head office is in Godalming, Surrey, and this exciting role will be fully remote, within a dynamic and hardworking team. The ideal candidate will be able to visit the office for an induction and occasional meetings, but this is not essential.
Responsibilities and Accountabilities
- Manage the authors’ and clients’ experiences from start to finish, ensuring that their expectations are being met and successfully resolving any issues which may arise throughout the project.
- Deliver exceptional customer experience throughout the project timetable.
- Maintain excellent, regular communication with the authors and clients throughout their projects adhering to the outline project process throughout.
- Ensure all projects adhere to process and all extras are appropriately agreed and invoiced.
- Alert PM Team Leader if any issues arise at any stage in the project which are outside the scope of the purchased project profile
- Train interviewers over the telephone and Zoom and subsequently provide support throughout the project to ensure they can lead the authors through their interviews and gather as much detail from the authors as possible.
- Manage, with support from the editorial team, the performance of our interviewers and ghostwriters.
- Monitor and manage the deadlines for the uploading of audio and written material.
- Monitor and manage CRM and internal project systems ensuring they are always up to date.
- Organise the final delivery of the printed books to the authors.
Essential Skills and Requirements
- Experience with CRM systems and IT literate.
- Customer service
- Strong communication and interpersonal skills with the ability to communicate and build relations with people at all levels.
- A friendly, confident, and professional telephone manner
- Excellent time-management and organisational skills, with the ability to manage numerous projects, deadlines, and freelancers simultaneously
- Ability to adhere to clearly defined processes.
- Meticulous attention to detail.
- Ability to remain calm, positive, and friendly when dealing with customer issues and communicating clearly when problems arise.
- Ability to solve common problems using your own initiative
- Ability to work independently, ensuring an exceptional quality of work without direct supervision
- Ability to work remotely from home comfortably and in privacy
- Flexibility to work evening hours/at times required to manage communications with our authors and project teams based in the US and overseas.
- Must be eligible to work in the UK.

Job type: Full-time, 40hrs per week, Monday to Friday
Salary: £24,000 per annum plus project bonus
