AMR has an opportunity available for a full-time remote Project Coordinator to join our team of Association Professionals.
The Project Coordinator is responsible for executing programs and projects and ensuring the consistent and exception delivery of services. The Project coordinator will have oversight and decision-making of assigned programs, projects, and committees. This position requires excellent communication and coordination skills, as well as the ability to multitask and change priorities quickly.
The ideal candidate will have prior association experience with a strong marketing and communication skillset. The ideal candidate will exhibit AMR’s core values and be able to successfully accomplish the major areas of responsibility.

Responsibilities:
Member Services & Marketing
- Ensures that programs, activities, and services needed to fulfill the service agreement (contractors, workplans, expense fees and reimbursements, etc.) are performed to meet AMR’s obligations and standards.
- Manage assigned committees and assist them in developing and implementing strategic plans. Additional committee responsibilities include scheduling/coordination of meetings, drafting agendas, taking minutes, and following up on action items.
- Manage association(s) website, social media accounts and communication plans: Update content, contribute to content creation, answer inquiries, ensures news/events and job board are updated; remove/hide outdated pages, monitor, and report on website analytics.
- Coordinate all aspects of online member community – troubleshoot during outages/sign-in problems; update front page / news for accuracy; make sure committees/task forces are updated each program year; assist members with questions, etc.
- Provide support to committees/task forces– strategic plans, coordinates volunteer signups; draft agenda/call materials, schedule calls, draft minutes, follow up on deliverables.
- Produce association publications including emails and newsletters.
- Develop and foster partnerships with key association contacts, sponsors, and partnerships.
- Lead volunteer committee and be primary staff liaison to plan and execute virtual and in-person conferences and/or meeting(s).
- Originates or coordinates association documentation as required. Attends conferences, conference calls and meetings as required.
- Coordinate online meetings or conference calls for committees and research groups, as requested using Zoom, Microsoft Teams, etc.
- Coordinates annual conference continuing education program.
- Oversees social media platforms ensuring content is distributed regularly.
- Conducts research and prepares issue briefs as requested.
- Facilitate outreach to new members, follow up with non-renewing/past-due members and review membership applications.
Conference and Event Management
- Provides pre-conference support including assembly of registration packets, attendance lists, act as lead for conference app development, on-site support as assigned, etc.
- Attends conferences and meetings as required: Onsite responsibilities include speaker/committee support, abstract and poster management, speaker contracts, agreements, reimbursements, etc.
- Collects and compiles conference materials, handouts, agendas, etc. for printing and mobile app, if used.
- Coordinates Speaker and Session Organizer communication for the Annual Meeting.
- Distributes, collects, and documents conference evaluations, participates in all staff, vendor and volunteer debrief meetings.
- Oversees the communications and marketing schedule for events, drafting content, setting up marketing and promotional materials, drafting newsletter articles, social media and managing distribution lists.
- Facilitate recording/broadcast of conference sessions and online management of conference recordings.
- Provide a high level of customer service and monitor and respond timely to all member inquiries and requests (phone, email, web form).
- Uses good judgment in dealing with associations and does not allow internal company information to be passed inappropriately.
- Understands AMR’s goals and makes full use of the company’s assets in achieving earnings and sales goals by promoting publication sales and client service offerings.
Association Management
- Keeps Executive Director(s) fully informed of any known or anticipated problems in a timely and accurate manner.
- Works with the Executive Director(s), to ensure the timely, accurate production of daily, weekly, monthly, and annual reports as required.
- Partners with the Executive Director(s) to create, maintain, and improve company relationships with association officials and members.
- Complies with company and association policy and operates in an ethical and prudent manner.
- Ensures the efficient and smooth coordination of activities among company staff. Maintains cooperative working relationships with other staff members.
- Handle association member customer service complaints/issues in a professional manner.
- Perform quality work within deadlines with or without direct supervision.
- Interact professionally with other employees, clients, and suppliers.
- Work effectively as a team contributor on all assignments.
- Work independently while understanding the necessity for communicating and coordinating work efforts with other employees and organizations.
- Assist with questions regarding conferences and follow-up calls.
Training and Experience
- Bachelor’s degree in related field
- Three or more years of related experience in a similar business or industry
- Prior association or association management company experience a plus.
Knowledge, Skills, and Abilities
- Proven ability to manage multiple, concurrent projects in a fast-paced environment with expected deadlines and budgets.
- Demonstrated superior level of customer service and time management.
- Proficient knowledge of Microsoft 365 and SharePoint.
- Excellent interpersonal and communication skills including teamwork, coaching, writing, listening, and speaking.
- Self-motivated to find and offer solutions to problems.
- Work effectively as a team contributor on all assignments.
- Works independently while understanding the necessity for communication and coordinating work efforts with other employees and organizations.
- Ability to respond to common project related inquiries from staff and clients.
- Flexibility to accommodate the schedules of association leaders will be essential.
Work Environment and Time Standard
- The physical environments are those of working in a controlled office or home office environment.
- Prolonged period of sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at a time.
- Must be able to see, hear and talk.
- The employee must have a full range of body movements including the use of his/her hands to finger, handle, and feel objects such as computer equipment and reports.
- Travel and overnight stay will be required. Travel may be by auto, plane, train, and other common forms of transportation. For this travel, all normal forms of travel hazards will apply.
- This is an exempt position and may require more than 40 hours per week to accomplish the duties assigned. In addition, there may be times when night and weekend work will be required. There is flexibility in the work schedule and leave policy to offset some of the inconvenience.
- Air Travel and overnight stay will be required. Travel may be by auto, plane, train, and other common forms of transportation. For this travel, all normal forms of travel hazards will apply.
