Duties/Responsibilities
To provide a dedicated Capital Projects Co-ordinator supporting the Capital Projects delivery process within GlaxoSmithKline to ensure any projects undertaken are handed over to the Site Engineering Operations Team as efficient, reliable and maintainable systems:
- Communicate with all other Project Team Members
- Meet GSK Handover deadlines.
- Streamline the Handover process by ensuring the technical documentation is in place and correct.
- Follow a consistent approach ensuring quality standards are met.
- Free up Project Engineers and Project Managers time.
- Support in completion of HOP (Handover Package) Checklist.
- Manage and track the Change Control process.
- Facilitate Post Project Reviews.
- Create, track and manage the purchase order process and liaise with the commercial manager to ensure all PO’s are in line with the contracted values.
Principal Accountabilities:
Customer liaison
The CPC with Capital Projects shall, during all phase of the project and with the Operations and Construction Representatives co-ordinate and agree:
- To ensure an effective partial handover to the Product Stream/Business Area
- To participate and contribute in pre-construction reviews e.g. Health and Safety, HOP, design approval as per Project delivery requirement
- Ensure all stakeholders are in attendance and contributing to the Change control Process and ensure all acceptance criteria is co-ordinated with the GES and SOP’s relevant to the project.
- Prepare and own from initiation through to handover the HOP and Change control process in accordance with all relevant governance.
Engineering Liaison
The CPC shall maintain regular communication with the Product Stream/Business Area Engineering personnel across disciplines to ensure full awareness of the Project including:
- Project Schedule
- Suspension of existing routines
- Plant layout changes/implications
- Accessibility including lifting, removal or replacement of equipment
- Assess Critical Spares and liaise with Engineering operations Team
- Determine staff training requirements to enable maintenance of new equipment/plant or installations in consultation with the Product Steam/Business Area and ensure this has been completed prior to Operational Qualification (OQ)
- Manage and lead the establishment of maintenance life plans for all plant and equipment and ensure that they are incorporated into the Computerised Maintenance Management System (CMMS) prior to the start of Operational Qualification (OQ).
A recognised technique must be used to establish the Life Plans and a record of the results must be retained and transferred to the Product Stream/Business Area for future reference and continuous improvement activity.
Project Handover
- Ensure O&M’s documentation and drawings are provided across disciplines within Product Stream/Business Area
- Ensure appropriate EAMS data is collated, checked and entered on the CMMS system
- Ensure appropriate maintenance routines are approved by the relevant parties and assigned in CMMS
- Provide information to enable Engineering site operations team to initiate new or extended Service Contracts
Documentation
- Provide advice to the Project Team on information required for EAMS input and data load timescales at the earliest opportunity to allow inclusion at Project Development Phase, Project Scope, Project Estimate and Project Schedule accordingly
- Advise Project Team on equipment registration protocol for EAMS
- Manage CMMS resource (if applicable) to ensure that the data input into the system in accordance with project timelines and complete prior to the start of Qualification period
- Monitor the quality of EAMS data and manage resolution of discrepancies
- Ensure maintenance operations documentation is in the correct format, complete and transferred to the relevant systems or appropriate department lead prior to project handover including:
Drawings
EAMS requirement
Equipment Spares List
Technical Documentation including COSHH assessments
Statutory Compliance documentation e.g. Pressure Systems, F-Gas, Water, LEV & Electrical
Maintenance Contracts - If applicable
Training Requirements – If applicable
Person Specification
Essential:
- Proficient IT user skills – Microsoft Word, Excel, CMMS experience
- Demonstrated portfolio liaising with clients, the business, consultants and other third parties
- Communication, organisation and persuasion skills
- Great understanding of FM account workings.
- Thorough understanding of Project management and key responsibilities
- Experience of working in GxP Pharmaceutical or Manufacturing environment
- Understanding of Project Management Processes
- Able to demonstrate and maintain knowledge of regulatory/compliance requirements within the relevant fields
- Engineering skills including knowledge of Project delivery processes
- Good Communicator with organisational and persuasion skills
- Accurate with attention to detail
- Capable of Multi-tasking and working to tight deadlines
- Works well in a team
