Position Summary:
Villanova University, a top national ranked university as recognized by US News & World Report, is hiring a Transfer Information Processor to join the Admission Resource Center (ARC) of the Office of Undergraduate Admission. The Transfer Information Processor will serve as the point person in ARC for all matters related to transfer applications and inquiries. This individual will work closely with the Associate Director for Transfer Students, the four academic colleges and other key offices on campus (such as Financial Aid, Residence Life, Student Life, etc.). Additional responsibilities include opening mail, scanning materials, data consolidation, and updating applications, responding to inquiries (phone and email), covering the front desk area welcoming visitors, etc. The individual will also support ARC with first-year applications and trouble shoot a wide variety of issues related to customer service.
Extreme confidentiality and discretion are required regarding both recruit and applicant information. This individual will also assist with other duties as assigned by the ARC Supervisor and senior leadership in the Office of Undergraduate Admission. As per University policy, a flexible rotating schedule of working from home one day a week is available.

Duties and Responsibilities:
- Manage and follow-up with 500 – 800 prospective transfer applicants each year. This individual will handle phone calls and emails from transfer applicants, process online applications via Slate, correspond with students regarding application completion, track and update Slate reports to monitor applications and enrollments, etc. Will also communicate with each of the four undergraduate academic colleges (College of Liberal Arts and Sciences, College of Engineering, Fitzpatrick College of Nursing, and the Villanova School of Business) regarding the admission review and credit evaluation.
- Assist the ARC team with updating and processing inquiries of 23,000+ first-year applications per year. Assist with answering phones, opening mail, sorting, filing, data consolidation, scanning, etc. This requires the ability to simultaneously perform multiple tasks while working under strict deadlines
- Work closely with senior leadership, including the Associate Director for Data Management and the Director of Technology for Admission, for matters pertaining to the Common Application and the Slate application. Will also work closely with the Director for Outreach Recruitment and Associate Director for Transfer students concerning communication and updates to the website.
- Perform other duties and assist with projects as assigned by the ARC Supervisor, Director of Admission Operations and Executive Director of Undergraduate Admission, which may include covering front desk receptionist duties as necessary.
- Support one to two counselors, with mailings and special projects.
Minimum Qualifications:
- A minimum of a high school diploma is required
- Two to three years of professional administrative experience in an office environment.
- Strong written and oral communication skills, along with the ability to demonstrate confidentiality and discretion are a must.
- General knowledge of the workings of an admission office and the responsibilities related to information processing and data entry are helpful.
- Must be extremely organized and be able to work independently yet be able to work as part of a team both in the office and in the wider campus community.
- Knowledge of basic office equipment (personal computer, telephone, facsimile machine, copy machine, etc.) and Microsoft Office (Word, Excel, Power Point, etc.), are required.
Preferred Qualifications:
- Bachelor’s degree is preferred along with an understanding of the college admission process.
- In addition to basic knowledge of office equipment, it is strongly preferred that the individual have experience with the following technologies: Slate, Banner, Concur, etc.
