The role
Reporting into the Enterprise PMO Manager, the Portfolio Management Office (PMO) Analyst will be responsible for supporting the business change function in delivery, including portfolio planning, control, reporting and analysis, as well as supporting the Enterprise PMO Manager in the delivery of PMO initiatives, including the review and update of processes, standards, and tools to meet the demands of the business.
Key responsibilities

Project and Portfolio Administration:
  • Manage PMO administrative activities such as project registration across various Portfolio’s.
  • Maintain and actively manage PMO governance control documentation to ensure information is current, relevant, and cohesive for pipeline, active and closed projects from various information sources (such as Business Cases, Status Reports, RAID logs, etc.).
  • Support the transition away from manual data entry and processing to improve efficiency and contribute to the continuous improvement of the ePMO function.

Project Delivery Support:
  • Provide timely support to the portfolio, programme, and project managers when required by managing the PMO team mailbox.
  • Support colleagues by guiding them through the project lifecycle and support the adherence of projects to the USS Change Model effectively.
  • Complete additional PMO administrative tasks in a timely manner as the project/programmes require.
  • Proactively engage with Project Managers to help identify support needs and to strengthen relationships with the wider business change team periodically.
  • Managing receipt and processing of supplier invoices (as required).

Portfolio MI Reporting:
  • Prepare Management Information (MI) packs for executive audiences to a high standard, which are used in various Governance meetings.
  • Prepare Management Information in a timely manner, allowing time for analysis and executive review.
  • Apply knowledge and analytical skills to call out portfolio insights and recommendations whilst collating management information.

Portfolio Governance & Control:
  • Quality assure project artefacts/collateral submitted to Governance forums (such as Business Cases, Change Requests, Status Reports, Closure Reports, etc.) providing constructive feedback to colleagues to ensure project management standards are applied consistently.
  • Maintain and manage Governance meeting agendas and minutes.
  • Schedule and organise meetings, take actions and follow up on actions, as appropriate.

Champion the USS Change Model and Project Management Methodology (PMM) and support the continuous development of processes, standards, and tools:
  • Responsible for the upkeep of templates, process documents and standards across the team.
  • Actively communicate the USS Change Model and PMM to colleagues where required.
  • Support and Lead on PMO overview sessions, including providing updates on PMO initiatives to Business Change teams.
  • Be actively involved in the development of the USS change model across all 3 portfolios.
  • Support the introduction of new systems and tools and implement smaller PMO initiatives autonomously.
  • Support and facilitate regular process to maintain views on team capacity.

Deputising for the PMO Manager:
  • Deputise for the ePMO manager during Governance meetings when required.
  • Act as the main contact for the PMO during ePMO manager absence.
  • Complete handovers coherently and concisely after deputising for the ePMO manager.
  • Effective meeting facilitation, where required. (e.g., USSIM Design Authority).
Your experience

Essential:
  • Demonstrable administrative experience in a demanding project environment.
  • Demonstrable knowledgeable of project management frameworks, PMO policies, processes and procedures
  • Demonstrable knowledge on the value and benefits of a PMO function.
  • Experience of applying project management methodologies and a working knowledge of both waterfall and agile delivery approaches.
  • Excellent written English and analytical skills.
  • Good interpersonal, communication and relationship building skills.
  • Strong presentational skills.
  • Competency within the Microsoft Office suite of products (Word, PowerPoint, Excel), including Microsoft Project/Project for the Web.
  • Self-motivated and a willingness to engage in personal development/upskilling to meet the evolving needs of the ePMO function.
  • Well organised, strong attention to detail with the drive to enforce standards across the team.

Desirable:

  • Demonstrable experience of writing executive-level summaries and experience of operating within an Executive facing Portfolio Management Office
  • Demonstrable Project Management experience
  • Competency within the wider Microsoft 365 suite of products (SharePoint, Forms, Planner, Power BI, Power Automate, etc.)
  • Previous experience with PPM (Project and Portfolio Managements) systems.
