Why are we Hiring?

Ingenta are looking to scale our project management capability, instil a culture of project
management and establish project management standards within the business. As such we are
looking for an experienced individual to join our team as a PMO Lead/Project Manager. The
responsibilities of the PMO Lead/Project Manager include establishing a framework for how
projects are managed at Ingenta, managing the day-to-day activities in the PMO, establishing
governance around PMO policies and processes, overseeing project management staff, and
collaborating with other department leaders to develop projects and programs.

The PMO Lead should expect to undertake several projects alongside their PMO duties.

The Successful Candidate will:

  • Develop and implement project standards, controls and governance – the Ingenta
Implementation Framework – standardise and professionalise how Ingenta manages
projects.
  • Ensure the successful delivery of all Ingenta Implementation projects to agreed
standards and targets.
  • Implementation of the PMO’s strategy, responsibilities, services and deliverables.
  • Prepare regular status reporting to all levels of the project organization, including
financial data, project budgets, risks and resource allocation.
  • Ensure that project information and documentation is securely stored on the agreed
systems, is easily accessible by users and is used.
  • Develop and implement a performance monitoring and management system as it
relates to Implementations and Projects at Ingenta.
  • Develop and produce a reporting system for project controls, including project
accounting/financials.
  • Chair the weekly Project Review with Senior stakeholders.
  • Continuously evaluate projects to ensure they are meeting agreed standards, adhering
to budgets, and meeting deadlines.
  • Line manage Project Managers.
  • Grow the team - scale Ingenta’s project management capability through hiring of
appropriate Project Management resources.
  • Provide training to project managers to ensure standards are always maintained.

Delivery of individual projects:

  • Manage projects – internal and external – deliver to scope, timelines and deliverables
per contract.
  • Manage resources in an effective and efficient manner to achieve project objectives.
  • Prepare and manage a project budget based on scope of work and resource
requirements.
  • Track project costs to meet budget.
  • Track and report on time spent to senior stakeholders.
  • Develop and manage a detailed project schedule and work plan.
  • Chair client project meetings and internal progress meeting with various
teams/stakeholders.
  • Provide project updates on a consistent basis to various stakeholders regarding
strategy, adjustments, and progress.
  • Manage contracts with vendors and suppliers (where necessary) by assigning tasks
and communicating expected deliverables.
  • Utilise industry best practices, techniques, and standards throughout entire project
execution.
  • Monitor progress to plan and contract, managing change appropriately.
  • Measure project performance to identify areas for improvement.

  • Someone who can instill a culture of project management at Ingenta.
  • A proven history of planning, executing, controlling and closing projects, and the

ability to manage a project and its components simultaneously with minimal
supervision.

  • Experience of managing a PMO – developing documentation, processes and
procedures, reporting, and so on.
  • Experience of project management using a structured project methodology for
medium to large sized projects.
  • Strong skills in creating and maintaining project and programme plans, including risks,
actions, issues, dependencies.
  • Highly efficient in resource planning and tasks assignment.
  • Diplomatic ability to influence others at all levels of the business.
  • A Project Management Professional Certification.
