Job description
Responsible to the Chief Officer you will be responsible for providing a comprehensive, efficient PA support service in line with business requirements.
You will require a high level of organisation and the ability to record, collate and produce accurate minutes or action points, in a timely manner.
Key responsibilities:
- To provide a comprehensive and professional personal assistant (PA) service, removing unnecessary demands and pressures from the Chief Officer.
- To produce accurate, high-quality correspondence, reports and other documents.
- To ensure good communication channels, both internally and externally on behalf of the Chief Officer.
- Develop a positive working relationship with the Chief Officer and put in place key systems to enable the Chief Officer to have access to all necessary documentation, when working on and off site.
- Maintain online diaries, dealing with short notice planning and last-minute changes.
- Liaising with other PA’s and administration leads.
- Operate an effective bring-forward system.
- Professionally respond to telephone or “in person” callers, using personal judgement to action, problem solve and escalate as required, paying particular attention to confidentiality, information governance and public relations.
- Prepare and produce reports and statistics as required.
- Prepare agendas and collate relevant attachments, attend meetings and take accurate minutes and action trackers for confidential and corporate meetings.
- To proactively manage actions required following attendance at meetings.
- Assist in the provision of presentations using Microsoft PowerPoint
- Assist in the provision of tabular information as required using Microsoft Excel
- Recording of annual leave and sickness absence
- Maintain all records (paper and electronic) in accordance with the Federation’s Records and Information Governance procedures. Ensuring version control is maintained across all documentation held by the organisation.
- Undertake extra duties as and when required that are commensurate with the role.
You will support key relationships with a number of people and organisations including the Chief Officer, board members and management, Clinical Directors, and GP practices.
In addition, this will include senior management and clinicians across a range of provider and commissioner organisations.
The successful candidate will require an exceptional level of focus and concentration due to the nature of the role and the information dealt with. You may occasionally be exposed to difficult situations.
Additional duties
The post holder will be required to undertake duties and responsibilities as may reasonably be required and which are commensurate with the post holder’s grade including, but not exhaustive:
Standing orders and financial instructions, arrangements regarding standards of business conduct, security and safe-keeping of property and facilities, an implementation where necessary of fraud policy and response plan, health, safety, and welfare at work, and ensuring best practice is adhered to at all times.

Must be able to reliably commute to Bury or relocate prior to the start date.
- Two years of minute-taking experience is essential.
