Background to the role

The Photography and Production Assistant will be responsible for the management of the company’s photography and video samples, proactively supporting the Creative Director with the organisation of all photoshoots to produce images for the catalogue publications and marketing channels. The role will work with all stakeholders in the business to ensure that photography requirements are briefed on time to enable the images to be shot to meet the production schedules, ready to be uploaded to an asset management system for use in artwork and on-line. The ideal candidate will be highly organised and eager to support the creation of on-brand, stylish images by attending and assisting on some photoshoots as required. The role is based at the office in Swindon and the photography studio located outside of Bath so the successful candidate will require their own transport to drive between the two sites.

The role is critical throughout the production process, working across all brands in a fast-paced retail environment and includes supporting the Creative Services Team and the Publishing Managers with the successful management of images within the asset management system.

Photography and styling assistance

  • Attending photography briefings and planning meetings, taking notes, and following up on any image specific or logistic issues
  • Assisting with the scheduling of product shoots including booking models, photographers, and photoshoot locations through appropriate agencies.
  • Proactively working with the Creative Director to determine upcoming photography requirements, planning, booking, and confirming resource.
  • Attending shoots and assisting the Creative Director with tasks from painting of sets, prepping walls and floors, baking, prop shopping, packing and unpacking samples and props.
  • Assisting with assembly, lifting, and moving of products.
  • Supporting with the set builds and management of the inhouse photographic studio.
  • Assisting Design Director on location, room set photoshoots.
  • Unpacking and orderly re-storing of props and managing any delivery and returns.
  • Uploading and processing images onto the internal asset management system when required.
  • Review of supplier images alongside Creative Director to decide if their quality is sufficient to feature in either catalogue/web
  • Creating contact sheets in Adobe Bridge of completed images to circulate to stakeholders.

Logistics

  • Organising samples for storage and delivery of all brands using the established internal product management system.
  • Working closely with the quality control team to stay informed of the availability of the samples for photography and their location, to meet photography deadlines.
  • Dealing daily with image enquiries and chasing samples from the Buyers for photoshoots.
  • Picking and packing of samples ready for delivery to photoshoots. Checking and ensuring correct samples and props are ready to be sent to the right photographer and confirming delivery dates with photographer/Creative Director.
  • Arranging delivery and collection of samples to and from photoshoots by courier, postal services, inhouse driver, or by themselves for required date.
  • Managing return of samples to suppliers, as and when required.
  • Sourcing, maintaining, and keeping an inventory of an up-to-date props store at the photography studio of products to use in photoshoots.
  • Co-ordinating with the Photography Studio and Catalogue Managers to ensure images are uploaded to the system on time

System management

  • Responsible for maintaining an inventory system / database to track all product samples and for logging the photography requirements and activity for all brands’ publications and e-commerce sites.
  • Keeping photography schedules and statuses up to date with the correct key milestone dates.
  • Workload planning and reporting to Creative Director in daily catchups and regular production meetings.

Budget management

  • Managing and maintaining courier budgets

  • Highly organised, adept at coordinating multiple tasks and deadlines within a pressurised environment whilst maintaining a calm and consistent approach. The successful candidate will be an individual who seeks perfection, has an eye for detail and takes pride in their work.
  • Willingness to be persistent and determined in seeking information or samples and chasing colleagues and other stakeholders to get answers.
  • Develops and maintains excellent working relationships with colleagues. Always shows courtesy and respect. Capable of providing individuals with clear deadlines and using initiative to ensure they respond within the agreed timings.
  • Adjusts to changing situations, demonstrating a willing and helpful attitude when learning new and different tasks. Maintains a positive attitude and is flexible when change occurs.
  • The ability to build strong and professional relationships with photographers, repro house and asset management software service providers as well as other internal/external parties.
  • An interest and creative eye for photography and current looks and trends

Preferred Skills

  • Excellent written and oral communication skills, as well as strong interpersonal communication and listening skills.
  • Proficient in using scheduling tools/applications, MS Excel and PowerPoint, managing emails, tasks and reminders.
  • Experience coordinating and managing production schedules.
  • Detail oriented self-starter with excellent time management and organisational skills.
  • Ability to use initiative and common sense, and to work independently.
  • Previous experience working within a dynamic retail business is a definite advantage.
  • A fast and motivated learner of technical information and new systems.
  • 3 years’ experience as office support, admin assistant, team administrator or similar roles.
  • Adobe Photoshop/Bridge experience is beneficial but not essential
  • Driving licence essential for travelling to and from photography studio near Bath
