The Role:

NJT seeks a new Executive Assistant; due to an internal career move, we now have a vacancy for a new EA; providing support to the senior team. You need to be super organised, efficient, courteous and kind with a ruthless streak to ensure you’re not overwhelmed and don’t get distracted from your key tasks.

Naturally, you’ll manage the diaries of senior execs, most notably one of our founders who is also our MD; all the appointments, changes, correspondence and communication that goes alongside this. You’ll pick up various ad hoc personal requests that ensure the founder’s life runs smoothly in and out of work like organising an MOT for example.

You’ll be responsible for collating and submitting all of his expenses on time, for travel arrangements, for making sure he’s where he’s supposed to be at any given time. You’ll ensure his diary allows time for meeting preparations and that he’s got some down time in there too. You’re there to make his life as easy as possible, thinking ahead and addressing any issues before he even thinks about them.

The MD is your primary customer; administration and/or project support is provided to the other senior team members. You could for example be supporting the Head of People with arranging interviews or new starter activity.

Ideally, we’re looking for the successful candidate to be located close to Bournemouth Airport and the surrounding area, due to the requirement to be Head Office based for the majority of the working week. Hybrid working could be supported up to 1 day per week.

What we’re looking for:

  • A minimum of 3 years in a similar role
  • Organisational skills, attention to detail, delivers to (and ideally before) deadlines; thorough individual who can get stuff done and who is passionate about being our PA
  • A proactive approach – to spot potential issues and prevent them from ever arising
  • A fantastic communicator – both written and verbal; who operates with discretion and confidentiality and understands why and when this is necessary; who represents the company internally and externally in a positive light through all activities from meeting/greeting guests, answering calls/emails to dealing with external stakeholders
  • A behind the scenes executive; happy not to be in the spotlight yet recognised for doing an amazing job
  • Someone who can join the dots, and understands the consequences and knock-on effects of changes to diaries for example and manages these seamlessly and with a smile
  • Able to manage multiple stakeholders/workload/diaries/emails
  • Producing reports/briefing papers/milestone updates and presentations as required
  • Ensuring Founder/MD is fully prepared for meetings in advance; working out an effective way of doing this; arranging follow up meetings; taking minutes as required
  • Using technology to make life easier for all – continually evolving ways of working/processes within your remit
  • Research, analysis, project management to support the senior team
  • Responsible for the relationship and management of the company rental car scheme
  • You should hold a valid UK drivers’ licence and have your own car
  • You must have the right to work in the UK immediately
  • Ability to be successful in an agile environment, to be flexible in style and approach; to pivot easily when required.

About You:

​You should have a genuine passion for being a PA or Executive Assistant that shines through in everything you do. PLUS, an excitement for working within travel and helping others. Results and attention to detail should be second nature and you’ll have the knack of second guessing what the senior team need.​

Hours

Full time positions available equivalent to 35 hours per week.

Additional hours may be required to support events and travel in the UK or overseas may be required to attend meetings.

The role will be based at Head Office at Bournemouth Airport.
