Personal Assistant (PA to CIO)

Location: Eastleigh, Hampshire

Salary Range: Circa £40,000 per annum

Hours: Monday – Friday 9.00am – 5.00pm

Our client has an exciting opportunity available to join their friendly team as a Personal Assistant. They are seeking a highly organised and professional Personal Assistant to provide support to their CIO at their busy insurance company headquarters.

Through strong planning and organisation, the post holder will be responsible for providing professional PA support to the CIO ensuring efficient and effective delivery of CIO’s personal and departmental objectives.

As a PA to the CIO, you will be responsible for managing their daily schedules, organising meetings, and ensuring that they have all the resources they need to succeed in their role. Main Responsibilities:

· Manage CIO’s full and dynamic diary and inbox efficiently and proactively, to enhance CIO’s productivity to deliver on company and team objectives, aligned to agreed priorities.

· Maintain central functional information and electronic files for CIO in an organised manner.

· Work with other UK Executive Team (UKET) Directors PA’s and meeting requestors to ensure CIO’s diary is maintained and organised effectively, learning which meetings take precedence for conflicts.

· Receive and deal with written and verbal queries/correspondence from both inside and outside the Company in a timely manner.

· Screen enquiries and requests and handle them appropriately in line with priorities agreed with the CIO. This will include liaising with various Departments/Teams, having knowledge of other Directors’ whereabouts or teams.

· Assist CIO with preparing PowerPoint presentations to a high standard and proof-read and correct documents and presentations for grammar and readability.

· Produce documents, briefing papers, reports and presentations based on instructions from the CIO and Department Heads. Ensure that with knowledge of the CIO’s upcoming meetings, relevant papers are obtained from the teams prior to the meetings.

· Devise and maintain efficient and organised office systems, including data management and electronic filing. This will include being resource point of contact for departmental organisational charts, contact lists, holiday charts and personnel information.

· Arrange travel, visas and accommodation.

· Process expenses for CIO and obtain approval for her teams’ expenses when needed.

· Meet and greet visitors of all levels and organise any required logistics (e.g., parking).

· Organise and attend meetings and, where appropriate, take minutes and ensure actions are progressed to completion in time.

· Cover for other PAs during period of holidays or absence.

In order to be successful as a Personal Assistant, you need to have the following skills/experience:

· Expertise in office technology including Microsoft Outlook, Teams, PowerPoint, Excel, and Word.

· Strong organisation skills with an innate ability to multi-task and rapidly context switch as post holder will need to work on multiple topics concurrently.

· Ability to forward plan and anticipate requirements wherever possible.

· Robust problem-solving skills with an ability to use own initiative and propose solutions.

· Good at working with detail. Proactive in resolving any issues, taking actions to a timely close.

· Excellent verbal and written communication skills with the ability to adapt the tone/style to match the audience/circumstances.

· Ability to produce high quality documentation and PowerPoint presentations within tight timescales.

· Excellent time management skills.

· Strong team player as part of the PA team, working collaboratively with other PAs and providing guidance and advice to members of the team where needed.

· Excellent tact and diplomacy skills as position requires post holder to handle a wide range of confidential information, situations, and personalities.

· Strong influencing skills as post holder is often required to handle a number of conflicting priorities whilst managing the expectations of others.

· Expertise in dealing with multiple 3rd parties and stakeholders at all levels in a polite and professional manner, frequently responding on behalf of the CIO.

· Assertive, proactive, and forthcoming in asking questions \ seeking clarification.

· Ability to build strong working relationships with all levels.

· Pleasant, professional manner with a high degree of comfort with change during a period of functional transformation in IT.
