Job description

We are looking for a Hybrid working Personal Assistants to join our team and provide administrative support to our executive staff. The ideal candidate will have excellent organisational skills, be able to manage multiple tasks simultaneously, and have the ability to work independently. The successful candidate will be responsible for scheduling appointments, managing emails and correspondence, and providing general administrative support. We are looking for an individual who is detail-oriented, highly organised, and able to work in a fast-paced environment.

Role and Responsibilities:

  • Keep track of the executives’ requirements and priorities to ensure the smooth running of all daily operations.
  • Approach your role with a project management mindset, look at the bigger picture and understand how vital your role is within the plan.
  • Managing the executives’ time to ensure their diaries are accurate, free from clashes, prioritised and creating space for them to get work done. Anticipating changes and roactively supporting him to keep his plates spinning.
  • Work to identify new ways to add value and proactively take on tasks that can help the executives be more productive. We’re looking for someone who loves to optimise operations and processes and is equally excited to share their ideas with our team!
  • Organising all travel arrangements and complex travel itineraries including booking of hotels, transport, visa applications, currency etc
  • Immerse and educate yourself in all day-to-day goings on for the executives so that you can confidently act as a screener/gatekeeper of enquiries and only forward the most relevant and critical of enquiries.
  • The role demands high attention to detail and an understanding of the professionalism to always maintain confidentiality.
  • Liaising with a wide range of business and personal contacts including investors, collaborators within the organisation and externally, restaurants and hotels. It is key to have a polite manner for managing such a variety of individuals.
  • Proactively manage sophisticated calendars using online calendar systems. Tasks include scheduling, vetting, prioritising, and providing recommendations for calendar meetings across global time zones to ensure time is efficiently used and prioritised.
  • Be discreet and a trusted colleague- you all have access to extremely confidential information in all matters relating to the team, department, and wider business.
  • Track action lists for the executives through interactions over multiple communication tools (email, WhatsApp)
  • Undertake ad-hoc administrative tasks and position yourself as always available to lend a hand.

Qualifications and Personal Attributes Requirements:

  • Experience as a Personal or Executive Assistant preferably with a history of working with rapidly growing start-ups or fast paced global businesses.
  • Confident and able to communicate with staff at different levels and across different departments internationally. Helpful to have experience of working in an international startup environment and building solid working relationships with teams across different countries, cultures, and time zones.
  • You’re resilient and tenacious in your approach to getting things done you’re not afraid to ask questions to gather the context you need to work autonomously and push back when needed.
  • Outstanding verbal and written communication skills with the ability to tailor communications to different audiences.
  • Excellent grammar, spelling, drafting, writing, and proof-reading ability.
  • Critical thinking: you apply an analytical mindset on the tasks and projects you are assigned to. When you approach a new project, you think about diverse ways to reach a result and apply a thoughtful approach to decide on the best option.
  • Outstanding interpersonal and communication skills to work well with teams, build positive relationships and maintain good relations with team members to achieve timely and accurate outcomes.
  • Strong multitasking and time management skills - you’re able to strategically manage an ever-increasing workload.
  • Experienced in organising complex international travel arrangements, creating comprehensive travel itineraries, and anticipating the needs of the executives whilst travelling.
  • Growth mindset: you believe feedback is essential for improvement. You are happy to receive it or share it!
  • Always think ahead and have the ability to understand and work within a complex organisational structure.
  • Can work globally - understands time zones, cultural nuances, and different working practice.
  • You are tech-savvy and agile with a working knowledge various online tool and can adapt quickly to new software tools.
  • Self-driven and motivated; strong work ethic and ability to multitask in a fast-paced environment, with an ability to show initiative in all situations and the ability to take responsibility for actions.
  • Ability to maintain professional conduct in all situations.
  • A friendly, personable, productive, and patient manner.
  • High integrity and be able to safeguard confidential and sensitive information.
  • Superior and proactive organisational skills.
  • Numerate, with strong attention to detail.
  • Extreme ownership + persistent ‘get things done’ attitude.
  • You understand what it means to work in a startup, this excites and motivates you.
  • This is a 40h a week role, however it may be that some days you’ll need to work more and less during others.
  • Ability to multi-task; leading numerous requests and task with attention to detail and in an accurate and timely manner
  • Must be able to travel overseas regularly together or separate.
  • Resilient and flexible to adapt to changing situations and circumstances.
