Hours: Monday to Thursday 9.30am until 2.30pm

Salary Range: £24,000 to £28,000 FTE

Firstly, I'm Mummy to an energetic small person! I love comfy hoodies, Ugg boots, music festivals and campervans! I enjoy crochet, pottery, and crafts.

Despite being qualified in the accountancy sector, I'm creative, an ideas person and develop and write all our courses, programs and training content.

I'm very hands-on and still do a lot of the client delivery myself as well as oversee the rest of the team (we are a team of sixteen) with the projects they are working on.

My days can be manic with back-to-back meetings, lunch on the fly, 100's of emails every day (even before lunch!) and constant messages and phone calls.

I need help!

Not only help with the day-to-day tasks that are time consuming for me and non-productive, such as dealing with my emails, arranging my diary etc but also help with co-ordinating all the projects the team are working on e.g. tracking deadlines, getting updates on progress and communications with the team and client.

Support will be needed to ensure that we sit down together every Monday to look at my week ahead. You will need to be able to work with me to help me plan my time and tell me how my week is shaping up; what I have when, if I need to prepare or read anything ahead of a meeting, know how to prioritise my tasks and alleviate as many jobs from me as possible.

Regular updates throughout the day on business operations will also be necessary.

A few random facts you should know about working with me:

  • I enjoy listening to music at work (I have headphones!).
  • I’m also a good listener and can offer different perspectives.
  • I like space to be creative (sometimes I head to a field in the campervan!).
  • I can be forgetful (I need to have constant reminders about things).
  • I need deadlines to get stuff done!
  • I am a verbal processor.
  • Tasks need to interest me, otherwise I am prone to procrastinating.
  • However, once a decision is made, I’m a fast-action taker.
  • I'm competitive (want me to get something done - make it into a challenge!).
  • I can hyper-focus and get lost in tasks (sometimes they’re not what I should be focussing on!).
  • I'm a responder (if someone asks for help with something, I want and need to find a solution).
  • I'm a Cadbury's Dairy Milk fan.
  • Blue is my favourite colour!

Role Purpose:

This is an in-person new role to support the Managing Director in all aspects of business operations in order that they can be as effective and efficient as possible.

The role includes working closely with the MD, assisting with resource coordination, project planning within the business and some personal organisational tasks.

Job Profile:

In addition, you should be able to offer unprompted support, make recommendations, be proactive in your approach, keep our systems up-to-date and coordinate tasks effectively which have interdependencies across departments to ensure projects are executed efficiently.

Responsibilities will include, but not be limited to:

  • Inbox management
  • Assisting with client admin and onboarding e.g. draft letter of engagements, send welcome packs etc
  • Actively be able to manage the MD’s diary with changes and developments, as required
  • Must be able to coordinate resources
  • Manage our ICB AML compliance (training will be provided)
  • Maintain CPD records for the MD
  • Track team projects and relay updates and progress to the MD
  • Update Company Policies and Procedures
  • First Aid (training will be provided)
  • Oversee Health & Safety in the Workplace
  • Monitor and track client deadlines
  • Co-ordinate travel and meetings
  • Take minutes of meetings
  • Perform prospect and client meeting follow ups, as needed
  • Prepare and submit the MD’s expenses and mileage claims
  • Collate the MD’s company credit card expenses
  • Liaise with clients and third parties as required and be the first point of contact
  • Deal effectively with queries from clients and other parties through effective communication
  • Prioritise inbound contact to the MD and pass on messages or relay information as required
  • Handle confidential documentation ensuring they remain secure at all times
  • Ensure sufficient office stationery supplies at all times
