Job description
An exciting opportunity for a motivated, experienced and highly organised individual to work as part of the Primary, Community & Therapies Service Group. You will provide comprehensive, efficient, organised and confidential personal administrative support to the Associate Service Group Director. The post will also provide support the Business Support Manager.
The post holder will facilitate and support meetings, preparing all relevant paperwork. The production of accurate and well-presented correspondence, reports, minutes and other materials as appropriate.
The post requires maintenance of office diaries including the organising of internal and multi-partnership meetings. Attendance at meetings to take minutes and identifying items, which require follow up, or actions and refer to the appropriate person. It is essential that the post holder has excellent keyboard skills and has extensive experience of Microsoft packages.
We are looking for someone who is friendly, keen to learn and develop. Someone with excellent communication and organisational/time management skills, who has the ability to provide an efficient, prompt and accurate PA service. The ability to deal with colleagues professionally and sensitively, maintaining a high standard of confidentiality. Someone who can judge the importance of information, prioritising
and responding appropriately.
Duties include but are not limited to:
Effective personal assistant supportto the Associate Service Group Director including diary management, meeting organisation and support and dealing effectively with queries and correspondence.
Project Work : effective project planning and support, draft presentations, manage action logs, prepare agendas, collate papers and reports.
General administration: General office duties, produce correspondence/minutes/reports/notes etc., meeting support and facilitation, administration of HB systems (i.e. ESR, Oracle, TRACS), and administrative support.
Information Resources: Be responsible for establishing, managing and maintaining manual and electronic systems. Support staff in the usage of IT systems.
The ability to speak Welsh is desirable for this post; English and/or Welsh speakers are equally welcome to apply.
