Introduction
Architype is seeking a part time People Assistant for our People Team who shares our passion for people and planet.
Architype is the UK’s leading Passivhaus Architect and widely recognised for our innovative approach including Education Architect of the Year, highly commended AJ100 Practice of the Year, 2022 RIBA London and Sustainability Award and 2022 South of England and South Wales BCO award.
The main purpose of the People Team at Architype is to support the productivity and well-being of all our staff (known as co-owners here). We are so proud of what they do to create architecture that works for people and planet and it’s a privilege to support them to be happy, healthy, values-driven and agile creatives! We are also mindful that the pandemic and recent rapid business growth has stretched us all. So, in 2023 the People Team particularly want to support a regeneration of the co-owner body. In this we aspire to be, not the human resources team – but rather the human regeneration team.
The People Assistant role will sit alongside our existing People Journey Coordinator and Head of People. We are also recruiting for a Learning and Development Coordinator.
You will initially contribute to the consolidation of the People function/service to Architype, ensuring our systems and data are fit for purpose: well organised, accurate, easily accessible. However, do note that this is a new role in a growing practice so there will be opportunities for development for the right candidate. Flexibility to work as a generalist, with the People Team’s evolving needs will be a key aspect of this role.

Working Lifestyle
Architype is currently evolving a hybrid working policy to enable staff to work flexibly from both home and from our studios. In Edinburgh we occupy an exciting studio space in Leith. In Hereford our studio is based in barns in the beautiful Herefordshire countryside. In London we are experimenting with a shared working solution. All co-owners are fully supported with equipment to enable hybrid working and are integrated into our collaborative team culture both on and offline.
The People Team serves all three studios so we are flexible about where you are based - you do not need to be resident in Edinburgh, Herefordshire or London but it would be useful if you were within commuting distance of one of these and able to attend bi-monthly Team days in London, Hereford or Edinburgh.
Benefits
A competitive salary which is aligned to industry standards. This is currently in the following range, with adjusted weighting rates for co-owners who live either in London/SouthEast or Edinburgh region:
- £21,255 – £27,500 (FTE)
- London/South East enhanced: £23,255 – £29,500 (FTE)
- Edinburgh enhanced: £22,255 - £28,500 (FTE)
33 days holiday (inclusive of bank holidays) (FTE)
Currently 20 hours week (with possibility of increase as the role develops) – flexible/hybrid working possible
Pension benefits of 3% employer contribution.

Job Description and Specification
Key Responsibilities
- Developing simple People team materials eg. a Benefits handbook and other induction materials
- In conjunction with the Head of People, issue contractual paperwork and keep contract information accurate and up to date.
- Keep accurate records such as staff lists, contract spreadsheet lists etc
- undertake an annual audit of all co-owner contact details
- provide Architype with appropriate data for bids, KPIs, general management information.
- Administer the employee satisfaction survey in conjunction with the People Journey Coordinator
- Liaise with the Finance Team over Payroll/Pension administration
- support various HR development projects in conjunction with the Head of People (HOP).
- support the L&D Coordinator in maintaining accurate training records
- Keep oversight of our GDPR responsibilities
- Coordinate the administration of our bi-annual performance review processes in conjunction with other members of the People Team.
- Support for diversity and inclusion:
- process the diversity data after each recruitment round and prepare simple reports for our Diversity Development Group (DDG)
- Undertake the annual staff diversity survey and share results with the DDG
- Support the People Journey Coordinator with evolving diversity recruitment development practices
- Look after the Hereford office HR admin
- Contributing to the coordination of Celebration/Thankyou events for our people…

- Undertake appropriate training and development to fulfil the CIPD foundation level profession map requirements
Job Specification
Essential:
- Good people skills
- Methodical and organised.
- Flexibility – willing to turn a hand to what is needed
- Familiar with Microsoft Word, Excel, Powerpoint, Outlook etc.
- Show initiative and enjoy problem solving.
- Office administration experience
- A strong eye for detail
- Ability to maintain confidentiality.
- Enjoy working in a team environment and be comfortable with a hybrid working context ie. working with team members who may be both office and home based
- Desire to develop a career in Human Resources
