Job description
The Payroll Coordinator is an integral part of a busy payroll team. The primary objective of the team is to pay employees accurately and on time. Each month the team capture, process and report payroll inputs for 800+ cleaning operatives using a variety of systems and processes. Our two key systems are a contract management system called Templa and SelectPay, our payroll system. As well as interaction with the payroll team, this role is a key interface with the wider group payroll team, senior managers, area managers, finance and will play a part within an IT project to upgrade existing payroll systems.
Key Responsibilities:
Templa Contract Management System Administration
o Setting up new Clients/ Sites/ Contracts
o Managing budgets for Periodic, Holiday and Regular Cleaning
o Coordinating timesheet preparation and distribution
o Calculating Annualised Pay for various clients
o Coordinating School Cleaning Calendars for Educational Institution Clients
o Maintaining, Updating and Adding employee details, including DBS checks and Right to Work checks
o Holiday Reporting
o Adhoc reporting from Templa, eg Forecasting client revenue for a cleaning contract
o Exporting Timesheet information and uploading to SelectPay
o Setting up and Training new users
o Managing workflow paths
o Supporting the Templa enhancement project
SelectPay
o Setting up new Starters in SelectPay
o Uploading Timesheets to SelectPay
o Updating employee changes
o Processing Monthly Payroll
o Reviewing and validating Monthly Payroll
o Reporting to Finance
o BACS file creation
Other Duties
o Resolving employee queries
o Supporting managing and clearing the payroll team email inbox
Knowledge and Skills:
o Good IT Skills, Microsoft Excel
o Excellent written and verbal communication skills
o A Fast, Accurate and Meticulous processor
o Approachable, friendly, organised and goal oriented
o 1-2 years’ experience in UK Payroll preferred
Previous experience of Contract Management or Time and Attendance
