Summary:
Responsible for administrative and clerical duties for the CMHA’s Open Access Center, providing
customer service support to program(s) to screen/register new and returning clients in our
Electronic Medical Record, assists with client’s information data entry, Enhanced Care Clinic
documentation, and database management to ensure effective client service and optimum
levels of client volume and flow.
Essential Responsibilities and Target Outcomes:
Manages all client accounts, including the processing of referral screenings and client
registration with insurance verification.
Receives and checks in visitors and clients and notifies appropriate staff.
Assists clients with admission/registration process to ensure accurate information for client
management database, including current insurance status and responsible party, demographics
and contact information is entered.
Files, retrieves, copies, and forwards chart/medical record information to facilitate client visit.
Answers multi-line phones to screen and route callers, take messages, and schedule
appointments to ensure optimum levels of client volume and flow, supporting reception and
medical records functions as needed.
Inputs all client information in database system and ensures information is accurate.
Follows up on “Intake/Psychiatric Evaluation no shows” and assesses scheduling problems.
Performs other related duties as assigned.

Intermediate to advanced experience with Microsoft Office products,

ability and willingness to learn how to use an Electronic Medical
Record (EMR) system including: appointment scheduling,
authorization tracking and billing information.
