Job description

We are seeking someone to take over from our current archivist to look after and develop the archive collection housed in Romsey, Hampshire and manage the records management aspects of the organisation/business. Ideally, we are looking for someone who is a qualified archivist with a year or more post-qualification experience in a paid or voluntary capacity.

The hours required for this part-time role (0.6 FTE) are subject to discussion and agreement with the successful applicant. Starting salary £30,233 and annual leave of 33 days (incl public holidays) are both offered pro rata

JOB DESCRIPTION

Position: Archivist/Records Manager

Responsible to: General Manager

Purpose of Job: To manage and preserve the Archives Collection and share the historical heritage of the Daughters of Wisdom in the UK and Ireland

MAIN DUTIES:

To ensure that the ethos of the Daughters of Wisdom is maintained.

Management of the Archive

  • To acquire records of enduring value as set out in the Archives Collecting

Policy

  • To catalogue the collections, including ad hoc/single item accessions
  • To ensure that appropriate conditions for storage and preservation of records are in place
  • To create and update relevant policies as necessary
  • To respond to enquiries concerning the Archive and its materials
  • To raise awareness of the collection among staff and members of the public
  • To update and care for the heritage exhibitions as necessary
  • To develop links with others regarding archive matters.

Records Management

  • To continue the current Records Management programme
  • To organise controlled and secure destruction and disposal of material
  • To update the Records Retention Schedule as necessary
  • To ensure compliance with relevant legislation and best practice in records management, access and destruction

  • To participate in staff induction and training to foster familiarity and compliance with the Records Management policy

Digital Records Management and Preservation

  • Assess and following approval initiate a digital records management progamme and procedure, briefing stakeholders as required to ensure its smooth implementation and integration into working practices.

General Management

  • To work in close collaboration with the Leadership Team
  • With the General Manager to explore ways of further developing the role of

Archivist.

  • To attend regular meetings with the General Manager.
  • To prepare a budget for the Archives annually.

Website

  • In conjunction with the Provincial Secretary to maintain the website of the

UK and Ireland Delegation of the Daughters of Wisdom by developing and managing content, monitoring comments and ensuring it is kept up-to- date.

Any other duties commensurate with the role.

Terms and conditions

Hours: part-time post (60% FTE) 22.2 hrs per week
Salary: £30,233 pro rata
Annual leave: 33 days per annum including public holidays, pro rata

ARCHIVIST: PERSON SPECIFICATION

Essential

  • A good first degree in a relevant subject, preferably archives or records management
  • At least one year’s experience of working as an archivist in either a voluntary or a paid capacity
  • Experience in carrying out record appraisals and surveys
  • Excellent IT skills
  • Excellent written and oral communication skills
  • Self-motivated: able to work alone, prioritise work and achieve targets
  • Able to work comfortably and effectively with the Sisters of the

Congregation, colleagues and members of the public

  • Committed to continuing professional development
  • Good knowledge of all relevant legislation and standards
  • Familiarity with or a willingness to learn and implement a digital preservation policy

Desirable

  • Experience of working as part of a small multi-function team
  • Flexibility – able to change priorities and/or assist colleagues with their tasks
  • A good sense of humour
