Job Title: Part-time Remote Administrative Assistant
Job Summary:
We are seeking a highly organised and detail-oriented Remote Administrative Assistant to provide essential support to the director and sub-contractors while working from the comfort of your own home. This role plays a crucial part in ensuring efficient office operations and assisting various departments remotely.
Key Responsibilities:
1. **Virtual Office Management: **
- Maintain an organized and efficient remote workspace.
- Manage incoming calls, emails, and digital correspondence.
- Take orders over the telephone, raise invoices and take payments
- Schedule jobs, follow-up calls with customers and reviews
- Assist with remote team communication and coordination.
2. **Administrative Support: **
- Schedule and coordinate virtual meetings, appointments, and travel arrangements.
- Prepare and distribute digital documents, reports, and correspondence.
- Assist with data entry and digital record keeping.
- Maintain and organise digital filing systems.
-Answer and forward e-mails in a timely manner.
3. **Communication: **
- Serve as a remote point of contact between internal teams and external stakeholders.
- Draft, proofread, and edit digital documents, emails, and communications.
- Monitor and respond to digital inquiries.
4. **Event Coordination: **
- Assist in planning and coordinating virtual company events, meetings, and webinars.
- Coordinate logistics, including scheduling online meetings and arranging virtual catering.
5. **Financial Support: **
- Assist with remote expense tracking, reimbursement requests, and digital budget management.
- Process digital invoices and purchase orders as needed.
6. **Technology Proficiency: **
- Proficient in using virtual office software (e.g., Gmail, Google Workspace, Sheets etc.).
- Familiarity with remote work tools and platforms.
- Ability to learn and use company-specific digital software and systems.
7. **Confidentiality: **
- Handle sensitive and confidential digital information with discretion and professionalism.
Qualifications:
- High school diploma or equivalent; additional education or certifications in office administration is a plus.
- Proven experience as an Administrative Assistant or in a similar remote role.
- Strong organizational and time-management skills for remote work.
- Excellent written and verbal communication skills for virtual interactions.
- Proficiency in using digital office software and remote work tools.
- Strong attention to detail and accuracy, even when working remotely.
- Ability to multitask and prioritize tasks effectively while working from home.
- Strong interpersonal skills and a professional demeanor for remote collaboration.
- Discretion and the ability to maintain confidentiality, especially in a remote work setting.
