This position sits in our Marketing & Technology service based in London. We combine data, technology, creative content, and paid media to crack brands' business problems & drive revenue through a variety of digital marketing solutions like ad campaigns, augmented reality, and chatbots. Our clients include ASOS, Just Eat Takeaway, Twitch, TikTok, and The White Company.
JOB PURPOSE:
We are looking for an experienced PA to join our team on a 6-month contract. We'd like this person to join us in August or September at the latest.
As Personal Assistant (PA) to the management team you will work closely with the UK Managing Director, Business Team Managing Director, Executive Creative Director & VP Emerging Technology to provide daily support in the form of organisational tasks, diary management, general support and taking ownership of other business related tasks e.g. new business coordination.
In this role you will be expected to take charge and make things happen. You will demonstrate an ability to be impeccably organised, proactive and solution focussed in order to deal with a variety of different and potentially conflicting activities. A large part of the role will involve building trusting and lasting relationships with the management team and rest of the company. You will also handle client communications in a professional and personable way.
KEY RESPONSIBILITIES:
The role of Personal Assistant is exciting, varied and constantly evolving. The role includes, but is not limited to:
- Provide extensive diary management to 4 people in the management team - supporting with clashes and prioritisation
- Coordinate requests that come from DEPT® and support the management team in actioning such requests
- Prepare the management team in advance of any key meetings e.g. agendas, confirming attendees, travel, etc. You may also be required to attend meetings to take minutes/action points
- Coordination of business projects - producing detailed project plans
- Project manage management led initiatives
- Support with presentation editing to a high standard
- Arrange travel, accommodation bookings and produce travel itineraries for the management team
- Support with the schedule of management led internal and external meetings
- Organise meetings/lunches/dinners for the management team as required
- Organise gifts for special events
- Arrange couriers and transportation as and when required
- Support the management team with annual review scheduling and 360 feedback collection
- Support new and existing projects by managing the communication with internal and external stakeholders, contractors and suppliers
- Provide occasional admin support to the wider team
- Monitor room bookings to ensure the day runs smoothly for the management team and be solution orientated in fixing clashes
- Support with ad hoc personal requests for the management team
- Handle sensitive information and act with a high degree of discretion
SKILLS AND PREVIOUS EXPERIENCE
Essential:
- Experience in a similar role and ideally within the creative sector
- Strong prioritisation and organisation skills
- Ability to work to tight deadlines
- Meticulous attention to detail and high degree of accuracy
- Proactive and solutions focussed
- Ability to produce high quality work
- Competent with excel, google sheets and slides
- Excellent communication skills, both written and verbal
- Personable and friendly attitude
