Job description
The PA will assist the Chief Commercial Officer and other directors and senior management as necessary, with general organisational tasks. The PA will support the CCO in respect of their work and home administrative tasks and each day will vary. This role requires a high level of trust due to the nature of the work and the candidate must have strong ethics and good judgement.
The CCO leads the commercial team so this role will also involve providing administrative support to the commercial team as a whole. The role will be hybrid, with the ability to work from home, but the nature of the role will entail reception cover, greeting guests and providing operational and administrative office support, you will be expected to be in the office a minimum of 2-3 days per week, depending on the needs of the CCO and team.

Responsibilities
The PA will primarily support the CCO performing the below:
- Manage inboxes, flagging any potential opportunities or risks and replying on their behalf.
- Organise both internal and external meetings, including logistics around catering, parking and meeting space.
- Proactively support the other directors (CTO, CFO and COO) and senior team with diary management and the facilitation of meetings.
- Attend meetings on their behalf to feedback on progress.
- Prepare agendas prior to meetings and distribute correctly, taking minutes where necessary and creating contact reports. Then keep track of any actions from meetings/discussions and ensure any deadlines are met.
- Maintain and optimize their calendar, with particular respect to school reminders, school holiday information, holiday camps and other such information as required.
Support for the Commercial Team will involve:
- Maintaining and updating the contacts in the CRM system and Outlook contacts.
- Effectively manage off-site Senior Team and Board strategy events.
- Book travel, accommodation, and catering for the Commercial team both nationally and internationally.
- Liaise with our Head of Marketing to organise events, speaking and PR opportunities.
- Be aware of budgeting and strive to find value for money.
Office Administration will involve:
- Reception cover which includes greeting guests and answering the phone.
- General administration includes dealing with incoming and outgoing post, filing, photocopying, scanning etc.
- Additional tasks to support the wider team include aiding in the administration of Health and Safety, Security, and maintenance documentation, this will also form part of the onboarding in the Leeds office for new starters.
- Supporting with the logistics of onboarding new people and hosting guests in our Edinburgh based office.
- Maintaining stock levels and the purchasing of consumables and stationery.
- Being a second set of hands during office-based events and engagement events.
- If you see something that’s broken, fix it. That includes the coffee machine.
Experience & Skills
The PA should have:
- PA experience is preferable; proven experience in a role which requires significant administrative work is essential.
- Highly proficient in the use of Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams).
- Self-awareness, integrity and must be comfortable with respectful challenges.
- Exceptional organisational skills when it comes to managing both yourself and the team's time.
- Problem solving skills, initiative and the ability to manage change
- A high level of flexibility and be able to adapt to working simultaneously on multiple tasks, prioritizing as you go.
- Excellent people skills with the ability to work with all levels of stakeholders both within and outside of the company, building trust within the team.
- Excellent communication skills, both written and oral, with the ability to actively listen.
- High attention to detail and accuracy with a mindset to exceed expectations on quality and deadlines.
- Leadership qualities which empower the wider team and secure high standards of work.
- Professional approach with the ability to ensure confidentiality at all times.
- Commercial awareness and business understanding is desirable.
Location
The Role will be based at The Data Shed’s Leeds office. Travel to client sites may be required from time-to-time.
