Teesside International Airport is seeking an efficient and professional Operations Support Manager. The role will provide effective administration support to the operations department and the wider business & to ensure an efficient and effective support to the business
Main Duties and Responsibilities
1. Ensure and co-ordinate the provision of an efficient and professional reception/front of house service and meeting room bookings.
2. Screening and dealing with telephone calls professionally, re-directing or taking messages and using initiative to deal with queries where appropriate.
3. To manage internal / outgoing post for the company and internal stakeholders, as required.
4. To monitor and order a range of supplies including but not limited to stationery, kitchen supplies, office equipment, using the Company’s procurement system.
5. Undertake all appropriate tasks associated with the servicing of meetings.
6. Ensure and co-ordinate the provision of a wide range of central administrative support to the airport and wider business.
7. Support the Personal Assistants to ensure cover during annual leave and busy periods, including all aspects of diary management, preparation for meetings, travel, correspondence and monitoring of email inboxes in a confidential and sensitive manner.
8. Assist with the production of an annual schedules of meetings including pre-agenda meetings, as required.
9. Attend meetings where required and produce an accurate record of meetings in line with company requirements. Ensure that meeting minutes and agreed actions are distributed in a timely manner.
10. Ensure the timely and accurate production of minutes, report and papers as necessary for the Boards and Committees for which you are responsible.
11. Provide cover for meetings in the absence of other team members.
12. Establish and maintain effective office systems including data management and filing. Ensure any archiving /disposal of company records is in accordance with retention policies.
13. Develop and implement paperless systems and digital admin records. Sorting, storing and retrieving electronic and hard copy documents on behalf of the business. Ensuring documents are shared at key times to facilitate timely project completion.
14. Implement, follow and improve document control procedures. Ensuring all documentation meets formal requirements and required regulatory standards.
15. Prepare and complete financial related processes and paperwork accurately and in line with company procedures including expenses, mileage claims, purchase orders, use of company credit card and gifts & hospitality register.
16. Provide assistance across the operations department as required.
17. Any other ad-hoc duties which may occur from time to time and are considered to be within the post holder’s capability, to ensure business continuity.
18. Undertake such personal training as may be deemed necessary to undertake the duties and responsibilities of the post.
19. Work flexibly and undertake such other duties and responsibilities commensurate with the grading and nature of the post.
The successful candidate will have:
· A good standard of education (5 GCSE of grade C/4 or above, or equivalent)
· Advanced IT skills and competent user of Microsoft Office (Word, Excel, Outlook)
· Experience working in a similar role supporting Senior Management is essential
· Excellent communication skills (both verbal and written)
· Strong interpersonal skills with a confidence to interact with people at senior levels
· Strong organisational skills and high level of accuracy
· The ability to be pro-active, display initiative and work within agreed timescales

Salary: £30,000.00 per year
