Operations Manager

Overall aim:

To assist the Directors of BNFS with the running and day-to-day management of the company.

In terms of company structure, the Operations Manager (GM) will sit just below the Directors /Owners of the company and will be empowered with all the roles and responsibilities associated with the role.

The person must be:

The Business:

Our core business as a local fish market, takes landings from fishing vessels, and sells their catch at the best possible price on a given day.

In order to achieve this, we have 3 avenues of sale:

  • Retail outlets (Hove & Portsmouth)
  • Catering and Hospitality sector, including Home delivery
  • Wholesale and Export

It is the sum of these 3 sales avenues that makes up the whole, and we therefore supplement customer demand by purchasing non-native species of fish from further afield to offer a one-stop-shop for seafood procurement.

We are a 24/7 operation which requires had work and dedication to ensure that the company continues to fulfil its role to the local fishing fleet.

Company Structure:

Production Operations are split into Day and Night shifts.

The Night shift predominantly grades, sorts and processes catch from fishing vessels and also packs Catering orders for delivery via our own vehicles the following day.

Whereas the Day Shift predominantly produces domestic orders for same-day shipment and prepares the fish market and stocks for the night team production.

All shifts have a collective responsibility to act on behalf of the other shift, so no one shift is burdened with a disproportionately heavier workload.

The retail outlets stand alone in their staffing needs and is managed by a Retail Manager who reports to the Directors.

The role:

Hours: 05:00 – finish (generally 14:00-15:00) - applicants will need a “whatever it takes” attitude to succeed in this role.

The following are aspects of day-to-day operations that must be completed and/or overseen across all shifts:

  • Complete all aspects of daily production, including sales and intake of products.
  • Allocation of tasks and best use of available human resources to achieve the day’s production.
  • Over time, autonomously recognise and identify tasks and problems before they occur and have the effect to hinder production
  • Stock Control
  • Handling receipt and dispatch of goods.
  • Ensure Site Cleanliness and hygiene standards are upheld.
  • Daily/Weekly/Monthly Audit reporting
  • Assisting with organising maintenance and repairs.
  • Ensuring supervisors report information into you, in order that you can communicate all relevant information to the Directors.
  • Accuracy in documentation e.g. Invoices, Dispatch Notes, Export Declarations, Export Health Certificates, Transport Manifests, Intake reports etc
  • Manage Staff hours – this includes setting and monitoring individual’s hours to within the targets set and overseeing/producing shift rota’s

Learning areas:

1 - Production processes:

Raw Material

  • You will be able to understand and then oversee the process of weighing-in and grading the fish landed by local vessels ensuring the process is completed accurately and the production area is kept clean and tidy whilst doing so.

Learning areas:

  • Specie identification and grade parameters.
  • Quality control at point of first handling.
  • Communication with the team leaders, sales and senior management.
  • Accurately recording each vessels’ catch in the landing book reports.
  • Producing an accurate stock list.
  • Using the grading machine and its software reporting functions.

Sales Orders & Logistics

  • You will be able to pack and oversee the packing of all orders to customers’ requirements and produce invoices for all delivery routes ensuring the process is completed accurately and the production area is kept clean and tidy whilst doing so.
  • You will also be able to identify stock quality appertaining to customers’ requirements, and communicate with sales and oversee the stockman with regards stock rotation.
  • Stock identification and management
  • Communication with sales team.
  • Using the ACSS invoicing system to produce orders along with the correct labelling requirements (e.g. export customers)
  • Using the correct stock and rotating stock correctly.
  • Time management
  • Loading trucks and offloading fishing vessels – both require thorough planning, staffing and 24/7 flexibility
  • Ensure cleanliness standards are upheld.

2 - Staff Management (HR tasks)

Including:

  • Assisting with recruitment and hiring – identifying gaps as per production needs, creating training schedules, training new staff, completing staff inductions etc.
  • Assisting with staff disciplinary matters – including making accurate file notes and recording information, producing staff performance evaluations and being included on staff performance reviews at Director level.
  • Participating in group discussions and meetings with team leaders and senior management.
  • Ensuring that departmental wage budgets and production cost targets are met, reported, and monitored.

3 - Site Cleanliness & Maintenance

  • You are responsible for the entire site cleanliness and tidiness on the day shift
  • supervisors report to you any defects or issues.
  • Problem solving – mechanical breakdown. Identifying the problem and contacting the correct person or contractor to fix the problem or assisting to find a solution.
  • Ordering supplies – e.g. boxes/packaging and cleaning products.
  • You will be the point of contact for ensuring BNFS continues to meet our current high standards.

4 - Reporting and Site Emergency Procedures

  • Learn the emergency fault finding processes procedures.
  • Staff evaluations
  • Budget reporting & expenditure

5 – Communication

  • With the Night Shift Ops Manager (Ryan)
  • With the Directors
  • With the team as a whole and its individual members

About You

You will have a proven history of successfully managing operations and a willingness to learn about fish with a ‘can do’ attitude. You will use great leadership to oversee operations in all areas of the business and to support and motivate the supervisors in managing their teams successfully.

You will be involved in all aspects of production so you will need great problem-solving and prioritisation skills. You should have confidence in making and communicating operational decisions, taking into consideration the ‘big picture’. You will also be willing to get stuck in and roll up your sleeves to make things happen.

You will be known for your high standards and attention to detail and be able to question when things don’t look right. You will use your initiative to improve processes. You will want the environment you work in to be clean and exceed the hygiene standards of any inspection.

You will also be responsible for ensuring the accuracy of the data that is recorded and reported in relation to stock, sales, HR and Health and Safety. You will provide accurate and helpful management reports to the Directors and support with strategic planning.

The working hours for day shifts are from 5am until ‘finish’, which tends to be around 2 or 3pm. The successful candidate will understand the nature of a 24/7 operation could involve working additional hours and being contacted outside of their standard working hours if needed.
