Chiswick Park is a 1.8 million sq. ft. business campus managed by Estate Management Company Enjoy-Work, which proposes a regular programme of events and concierge services dedicated to over 10,000 workers from 72 companies. Job purpose:
To provide key support and coordination across all operational aspects at Chiswick Park Enjoy- Work, from projects and planning through to data collation, compliance and financial support. To maintain the organisations aims and objectives through supporting the Operations Director and the Operations team, in line with our overall Mission, Vision, Values and Objectives. To provide administrative and tactical support to the Operations team.
Key accountabilities:
· Working closely with the Operations team on the day-to-day management of Chiswick Park Enjoy-Work.
· Support with the reporting and reviewing of service charge financials (operational budgets, expenditure and forecasting).
· Support the Operations Team in line with finance administrative requirements, such as purchase orders/invoicing ensuring accurate recording and maintenance of financial trackers.
· Co-ordination and preparation of the Operations monthly & quarterly company reports and support with the collation of annual service charge packs.
· Working with the Business Administrator in championing the office environment in line with sustainability (office standards, sourcing supplies/suppliers, innovations & ideas)
· Supporting the Building Services Manager in mobilising and completion of new projects – inc. handover documentation, O&M’s, Snagging, Commissioning etc.
· Preparation of Operational reports and monthly business insights data.
· Co-ordinate and attend operational meetings, supporting with document preparation and minute taking.
· Administrative support on the allocation and management of car parking licenses, liaising directly with Guest Companies where necessary in line with the Car Park Management Strategy.
· Supporting the Operations Director in reviewing and collating Service Partner KPI’s.
· Support in ensuring the H&S compliance and championing and leading on monthly Health & Safety focuses for company-wide distribution.
· Supporting and reviewing the Business Recovery Plan and Estate Emergency Plans along with other key business guides and documents.
· Operations Team co-ordination of priorities to ensure deadlines are achieved.
· Undertaking administration of various other items such as permits, compliance, matrixes, policies and procedures, License to Alters, Wayleaves, as well as ad hoc business wide support.
· Guest Experience – working in collaboration with the Head of Guest Experience by supporting the planning, developing, implementation and delivery of this key focus area for the business including Events & Sports in-line with the business strategy.
· Other ad-hoc duties as may be required as part of the operations team and/or the overall business.
Reporting Relationships:
· Reporting to: Operations Director
· Working alongside the Operations Team; consisting of Technical Manager, Estate & Services Manager, Building Operations Manager, Guest Relations Manager and H&S Coordinators
· Supporting our Head of Guest Experience and Guest Experiences Team
· Working alongside all our Departmental Team Managers and the wider team
Personal Attributes:
· Previous experience in a similar role, ideally in a similar environment, with a minimum of 3years experience
· Demonstrable understanding of budgetary and operational management

Salary: £35,000.00-£40,000.00 per year
