We’re looking for an outgoing, flexible and methodical administrator to assist on First Call Crew projects throughout the UK by providing customer service, administrative, marketing and crew booking support.

Customer Service

  • You’ll give excellent customer care to our clients by responding to enquiries and questions quickly and accurately
  • You’ll respond to client emails, social media comments and private messages
  • You’ll monitor client reviews and respond where necessary
  • You’ll liaise with management to resolve any complicated client issues
  • You’ll work closely with the on site Crew Chiefs to ensure any client queries are dealt with promptly

Project Support

  • You’ll contribute to the smooth running of our projects by providing admin support for the team
  • You’ll help with the organisation of events, projects and interviews
  • You’ll do research and obtain quotes from suppliers and contractors
  • You’ll support our finance team by writing purchase orders and requesting invoices

Marketing and social media

  • You’ll monitor our social media channels and the web for relevant activity and mentions,

responding appropriately

  • You’ll contribute to the marketing campaign by drafting copy for social media posts, proofing emails and other marketing materials

Office administration

  • You’ll be the first point of contact at the office - answering the phones, greeting visitors and servicing meetings
  • You’ll be supporting the finance team with reconciliation of account transactions in our accountancy software.
  • You’ll ensure the smooth running of the office by handling the post, managing petty cash and making sure there is always enough stationery and coffee.
  • You’ll be willing to complete any other tasks that may be reasonably requested by other members of the team.

The Crew

  • You’ll work closely with the office team to gather availability of crew and confirm them for work
  • You’ll ensure that the crew have all of the relevant information for their jobs at least 24 hours before shift start
  • You’ll arrange and/or book all required transport and accommodation
  • You’ll deal with all queries promptly and effectively
  • You’ll ensure that all new crew uniforms are packaged and sent out, also keeping up to date with any re-issue of uniform.
  • You’ll process and send out any shop orders from the FCC online shop.

Person specification

We’d love to hear from you if:

  • You have relevant experience in a client service role
  • You have relevant experience working in an office environment
  • You have an active interest in theatre, the arts and/or live entertainment
  • You are confident on the telephone
  • You have excellent written English
  • You are a competent I.T. user (particularly in MS Word and Excel)
  • You are a social media pro, with lots of ideas for creating and delivering engaging content
  • You’re an adept proofreader with a keen eye for detail
  • You are well organised and can demonstrate an ability to manage your time effectively and meet deadlines
  • You’re hard working, enthusiastic and willing to learn

General information

Working hours are 09:00am to 5:30pm (30 minute lunch break). You’ll work a four day week in the office with one day of flexible remote working. On alternate weekends there will be an element of being on call (remotely). During our busy periods we may require a five day week to be worked in the office. On occasion there may be some evening and additional weekend work required.

You’ll be based at our office in Eastcote, although you might occasionally be required to work at different locations.

You must be able to provide proof of your eligibility to work in the UK.
