Operations Assistant

Hours: 20 - 25 hours per week (flexible hours for the right candidate)
Weeks: 52 weeks per year
Salary: £20,000 - £23,000 per annum depending on experience (this is the full time equivalent, will be pro-rata for hours worked)
Holiday: 22 days plus bank holidays (5 days to be taken between Christmas and New Year, when EduFin is closed) *
Start Date: ASAP, April 2023

*After 1 year of service you qualify for an additional 3 days leave, after 3 years of service you qualify for another additional 3 days leave

About Us

We are an established consultancy company working in the education finance sector. Now in our 11th year of trading and having gone through a large expansion over the past few years, we are looking to grow our Operations team.

This role will be based at our offices in East Malling.

Person Specification

We are looking for an organised, self-starter, happy to speak to clients and staff alike. To have innovative ideas to ensure efficiencies would be ideal.

We pride ourselves on going that extra mile for our clients and want our staff to have that same can-do attitude.

As a member of the EduFin team you will be expected to present a professional image of yourself and the company at all times.

You will need a clean driving licence and access to a vehicle. You will also need a clean enhanced DBS check which will be initiated by EduFin at the time of employment.

The Role

This is a new role, which gives a great opportunity for someone to really make it their own.

A guide of the type of roles and responsibilities are included below, however these may adapt as the company/role grows.

The role is needed to assist with administration tasks for the Operations Manager and Directors; giving capacity for support amongst all areas of the business.

Potential Duties

Some duties that may be expected of you but are not limited to the following.

Staff Management

  • Assist with regular check-ups with staff.
  • Ensure contracts are in place / up to date with any changes.
  • Assist with onboarding and offboarding tasks.
  • Assist with monitoring DBS checks to make sure all are in date / renewed accordingly.
  • Monitor annual leave allocations. Communicate any concerns to Ops Manager.
  • Monitor staff sickness and ensure all staff complete a return to work form on their return. Communicate any concerns to Ops Manager.
  • Support in arranging training courses as relevant.
  • Collating relevant staff information for weekly updates/staff newsletter.

Consultancy Contract Management

  • Assist the Ops Manager to ensure contracts are signed and in place for all bookings.
  • Monitor and keep up to date company CRM system.
  • Monitor DocuSign and renew contracts as relevant.
  • Alert Ops Manager/Directors of any client queries on contracts.
  • Monitor the company Info@ inbox.
  • Collate client info for weekly updates and staff newsletter.

Planner Management

  • Alert Ops Manager/Associate Director of any gaps in Helpdesk days.
  • Alert Ops Manager/Associate Director of any gaps in in diaries.
  • Assist Ops Manager in confirmation of dates with clients.
  • Arrange accommodation as relevant for staff / directors as needed.

Director / Staff Meetings

  • Ensure regular diarised meetings are in the planner as relevant.
  • Arrange location / refreshments as relevant.

Event Management

  • Assisting in organising staff events; Christmas / Summer do.
  • Assisting in organising networking events for clients.
