Who are Imagine Theatre?
Imagine Theatre, part of Trafalgar Entertainment, are the second biggest pantomime producers in the UK, having produced more than 200 pantomimes in our history. For the 2023/24 Christmas season, we are producing 19 pantomimes and a UK wide tour of our ‘Santa’ family of shows.
Our head offices on the south side of Coventry house up to 25 staff, as well as a 20,000 sq ft warehouse packed with scenery, costumes, props and special effects. During the main Christmas show season, our staffing ramps up to around 500 people, working over 23 satellite sites.
During Christmas 2023, a curtain will rise more than 1,000 times on one of our seasonal productions, and more than 550,000 people will watch a performance. Plans are also well under way for our 2024 season, plus some exciting additional projects which are in the pipeline.
What is our Operations team?
Headed up by David Edmunds, Head of Operations, our Ops team manages the operational delivery of our shows. This includes scenery, props, special effects, costumes, technical equipment (including lighting and sound) and production logistics, as well as scenic building, repairs, and maintenance. The team also oversees the recruitment of technical and backstage roles for our productions. They also manage our hires department and our transport logistics.
What are we looking for?
We have a vacancy within our operations team for an individual to support the work that the team is already undertaking alongside any future productions and tours.
Working within a well-established team, this individual will provide organisational support to the other ops team members and to all our productions and our hires department. A working knowledge of Technical/Producing Theatre would be advantageous but not essential.
The person we need should:
Have an interest in/ knowledge of theatre or stage operations.
Be able to manage their own time.
Be happy to work in a small team.
Be able to work under an environment where sometimes time can be quite pressured.
Have great administration and project management skills.
Be able to take the initiative to make decisions in the absence of a direct manager (this is particularly pertinent during busy periods).
Be skilled in working on a PC – a knowledge of Outlook, Word and Excel are essential. An understanding of SharePoint and office 365 is desirable.
Be able to work to a deadline.
Be happy to work alongside all members of the Imagine team when and as needed.
Be assertive and take own initiative.
Be able to manage relationships with suppliers and customers, building a rapport with them.
Be able to work longer hours over the November to January period. Please note that no holiday can be taken during this time.
Be able to attend occasional ‘off site’ appointments including meetings, and auditions. Some may occasionally take place at weekends.
The role itself would include (but not be limited to):
General office duties including minute taking, and action management.
Updating and maintain departmental paperwork, including elements such as set information packs and hires information.
Maintaining the database system alongside the Head of Operations (training would be provided).
Assisting the operations team with hire enquiries.
Ensuring all operations team paperwork is correct and up to date.
Scheduling meetings as required.
Accommodation booking.
Coding invoices in partnership with Head of Operations.
Assisting the Operations team with day to day running of the department.
Working alongside Head of Operations source quotes and book statutory inspections (LOLER & PAT etc).
Supporting the management of the departmental budgets.
Supporting the Health and Safety of our productions – a understanding of risk assessments would be advantageous but not essential.
Providing support to team members when they are traveling, particularly over busy production periods.
Manning head office during busy periods, including taking enquiries over the phone and via email.
Checking and management of rehearsal reports, show reports and company managers weekly reports, keeping in with GDPR guidelines.
Working with our archive filing systems to keep them up to date.
Be happy to provide support to other administration teams within Imagine Theatre.
