Title: Operations and Logistics Manager Department: Operations and Logistics
Location: Holborn, London Status: Full time – Hybrid working
Reports to: TBC
OVERALL, ROLE PURPOSE
To manage KMI Brands Logistics partner relationships, sales order management, retailer conformance and associated distribution requirements to destination.
To meet Internal and External customer expectations whilst achieving departmental KPI's, m aintaining costs to budget expectations.
ROLE ACCOUNTABILITIES
Sales Order Management
Fully responsible for the accurate Input of all sales orders onto KMI Brands CRM system (Oracle
Netsuite) ensuring sales pricing, quantity, delivery address and customer order references are correct.
Fully responsible for ensuring deliveries are monitored to achieve DOTIF (Delivered on time in full).
Tackling and resolving any issues or complaints that may arise from customers.
Ensuring that shipping and associated supporting documents are managed proficiently, and in compliance. Examples include Commercial Invoice, EDI856 - Advance shipping notice,
Certificate of authenticity, Material safety data sheet, cost statement, and health certificates.
Overseeing and monitoring of quality, quantity, delivery times, transport costs, and efficiency of despatched sales orders.
Weekly/Monthly catchups with 3PL partners to ensure they are on track to deliver the Sales orders on time and in full.
Work with 3PL partners to resolve any sales order delay or discrepancy, reporting any associated cost Implications to meet the required sales order deadline.
Work closely with the commercial team to ensure we are aligned on delivery deadline and monthly sales order output.
Liaise with Supply and Inventory team each week to align on stock availability and sales order shortfall.
Ensure close communications is maintained with Finance placing sales orders on hold as requested and ensuring each sales order is correct as at the end of each sales period.
Fully responsible for the maintenance of sales order status performance tracker, weekly and monthly reporting.
Operations and Logistics
Maintaining relationships with all warehousing partners, carryout frequent visits, performance reviews and regular review of sales order forecasting.
Examining, identifying, planning, and managing special logistics and warehousing processes or operations which involves ensuring that accurate and complete accounting, reporting, and internal control systems are functioning and that all relevant records are accurately maintained.
Oversee day-to-day relationships between the warehouse and the retailer, focusing on delivering exceptional customer service.
Take opportunities to optimise the logistics function focusing on minimising the costs associated with stock flow whilst meeting Retailer requirements.
Create and maintain how to documents for every warehouse logistics task.
Set, monitor, and report on the warehouse costs, productivity, accuracy, and timeline targets.
Working in conformity with laws, regulations, and policies
- Overseeing the service level agreements with all Logistic partners.
- Resolving delivery inconsistencies or delay
- Taking care of compliance issues related to shipping or transportation matters
Claims management –work closely with the Supply and Inventory and Finance teams to investigate and resolve delivery related invoicing claims received from our customers.
Non-Conformance and Compliance - work closely with the Quality Manager and where applicable logistics partner to Investigate any customer complaint or non-conforming delivery to Include the generation of a corrective action report.
Financial
Provide monthly accrual reports by day 3 of each month end close.
Complete the processing of all Logistics and Transport partner Invoices to Include verification of backing data submission and receipt of acceptable proof of deliveries.
Produce monthly reports to show costs incurred compared to budget split by logistics and transport partner.
Working with colleagues
Ensure your direct reports are well supported, have clear goals and targets both for business and personal growth.
Resolve any operational issues and suggest ideas for improvements within Sales order management and Operations and Logistics.
Work closely with Supply & Inventory, Commercial and Finance to support continuous improvement initiatives.
Suggest process improvements to streamline efficiencies and cost savings.
Attend all meetings as required.

Organisational skills and time Self-motivated and driven, ability to 0-6 months management prioritise workloads to meet deadlines. Demonstrate effective ways of working
Working with CRM To be proficient in understanding how to 0-6 months operate Netsuite to Include Sales order and
Purchase order generation.
Working with Excel To ensure a high-level competency in 0-6 months excel to include. pivot tables, formulas, graphs, and tables.
