As a newly established non-profit (UK community interest company) Syli - pronounced SOO-Lee - supports mission-driven journalism in service of informed audiences around the world. We have a specific focus on climate activities.

We are looking for an Office Manager who will be responsible for establishing and ensuring the proper flow of our remote office systems and procedures and supporting the Directors.
This includes maintaining a positive and friendly company image by acting as the first point of contact for clients.
The position is for an immediate start and is a hybrid role, primarily working remotely but with in-person meetings in Guildford in Surrey, so you must be local to this area. Occasional in-person meetings in London may also be required. Candidates must already have the right to work in the UK. You will need to ensure you have access to a suitable professional and confidential environment with a reliable internet connection to carry out your duties.
The position is part time working 20 hours per week over Monday to Friday. We’d love to discuss what working pattern would work for you. This is a fixed term contract ending 31st March 2024. However, pending securing the required funding, we intend for this to become longer term.

Responsibilities
- Manage diaries and schedule meetings (often across time zones)
- Deal with incoming and outgoing correspondence
- Monitor shared inboxes
- Handle some expenses, invoicing, and billing
- Prepare and send electronic documents including contracts and agreements
- Create agendas and take meeting notes
- Maintain electronic filing systems
- Spreadsheet preparation and tracking
- Work collaboratively with and assist other team members
- Set up administrative procedures and processes
- Look after HR records
About You
We have identified what we think you'll need to know and have done, in order to do well in this role. A background in office management or business operations gained in a small or rapidly growing organisation is essential.
- Experience providing administrative support to company directors / executives, possibly gained in an executive assistant role.
- Strong organisation, time management, and prioritisation skills.
- Positive, proactive attitude towards customers and team.
- Process driven with excellent attention to detail.
- Proficiency with Google cloud-based platforms including Workspace and Drive, and experience of using Zoom functionality as the host.
- Experience in setting up and developing administration processes and procedures in a growing organisation.
- Ability to self-motivate in a remote working environment.
- Knowledge of UK GDPR and Data Protection responsibilities.
- Basic level of bookkeeping, ideally using Xero.
- Experience with legal documents such as client contracts and contractor agreements.
- Excited to support the launch and growth of a new initiative in the journalism and climate space.
